High School Attendance Secretary Reports To: Principal/Assistant Principal Position Summary The High School Attendance Secretary is responsible for maintaining accurate student attendance records, ensuring compliance with district and state attendance requirements, and supporting interventions that promote student attendance and engagement. This position serves as the primary point of contact for attendance-related matters and provides clerical support to ensure the efficient operation of the school office. Essential Responsibilities Attendance Management & Compliance
- Maintain accurate daily attendance records using the district's student information system.
- Receive, verify, and process absences, tardies, early dismissals, medical excuses, and attendance corrections.
- Monitor attendance data throughout the school day and conduct attendance audits to ensure teacher records are complete and accurate.
- Investigate and document attendance discrepancies, unexcused absences, and potential truancy concerns.
- Contact parents/guardians regarding student absences and attendance concerns.
- Generate attendance reports and maintain records required for district, state, and federal compliance.
- Collaborate with administrators, counselors, and attendance officers to support attendance interventions and truancy prevention efforts.
- Verify attendance information for report cards, transcripts, and other official records.
- Process student sign-ins, sign-outs, and early dismissals.
- Maintain records related to student attendance, discipline, and other assigned student services.
- Assist with tracking students who are missing from class and communicate concerns to administration.
- Support student work permits, parking permits, detentions, and other attendance-related programs as assigned.
- Answer phones, greet visitors, and provide customer service to students, parents, staff, and community members.
- Prepare correspondence, reports, forms, and other office documents.
- Maintain organized filing systems and confidential student records.
- Assist with enrollment, withdrawals, scheduling support, and other office functions as assigned.
- Support special projects, school events, and other administrative duties as needed.
- High school diploma or equivalent required.
- Previous school office, attendance, or administrative experience preferred.
- Proficiency with student information systems, attendance software, and standard office applications.
- Strong organizational, communication, and customer-service skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated attention to detail and ability to meet deadlines in a fast-paced environment.
