Join our dynamic construction team as an Accounts Payable Specialist, where you'll play a critical role in maintaining the financial operations that keep our projects running smoothly. In this position, you'll manage the complete accounts payable cycle while working closely with project teams, subcontractors, and suppliers to ensure accurate and timely financial processing.

Key Responsibilities

Invoice Processing & Payment Management

• Process accounts payable invoices, payment applications, credit card transactions, and recurring expenses with accuracy and efficiency
  
• Gather and verify required payment documentation, including lien waivers, W9 forms, certificates of insurance, bonds, contracts, and change orders

Vendor & Subcontractor Relations

• Maintain comprehensive supplier and subcontractor account records, including managing W9 collection and updates
• Collaborate directly with Project Managers to track and follow up on missing subcontract payment applications
• Provide guidance and support to subcontractors in completing payment applications accurately
• Resolve payment discrepancies and communicate effectively with all stakeholders

Financial Reconciliation & Record Keeping

• Perform monthly account reconciliations using supplier statements to ensure accuracy
• Organize and maintain all accounting documents and records in accordance with company standards
• Support additional accounting department functions and special projects as business needs require

Qualifications

Experience & Technical Skills

• Previous accounts payable experience strongly preferred
• Advanced proficiency in Microsoft Excel for data analysis and reporting
• Familiarity with accounting software and financial systems
