SUMMARY OF POSITIONThe HR Specialist provides day-to-day operational support for the Human Resources function, including employee lifecycle processes, talent acquisition activities, HR systems, compliance activities, and HR programs. This role helps ensure accurate records, timely execution of HR processes, and a positive experience for employees and candidates through strong organization, attention to detail, and employee support and service. The HR Specialist works collaboratively with HR team members and cross-functional partners to support day-to-day HR operations and assigned projects.

PRINCIPAL RESPONSIBILITIES
- Talent Acquisition:
- Facilitate end-to-end recruitment activities for assigned positions, including job postings, interview scheduling, candidate communications, interview feedback tracking, and candidate dispositioning.
- Partner with hiring managers and external recruiters to ensure timely progression of candidates through the recruitment process and a professional, consistent candidate experience.
- Prepare, review, and maintain job descriptions and ensure accurate position and requisition information within ADP Workforce Now.
- Maintain accurate recruitment records, applicant data, and documentation in accordance with established HR processes and recordkeeping requirements.
- Support internship recruiting and serve as a primary operational resource throughout internship recruiting and hiring cycles.
- Monitor recruiting activity and provide routine reporting on open positions, candidate activity, time-to-fill, and other recruiting metrics as requested.
- HR Operations, Systems & Processes:
- Coordinate and facilitate the end-to-end onboarding process for new hires, including initiating onboarding workflows, collecting and reviewing required documentation, coordinating pre-employment and first day activities, ensuring timely completion of HRIS tasks, communicating with new hires and internal stakeholders, and tracking outstanding items through completion.
- Prepare and maintain onboarding materials, schedules, checklists, and communications; coordinate orientation sessions and ensure new hires receive required information, resources, system access, and policy acknowledgments in a timely manner.
- Identify opportunities to improve onboarding workflows, documentation, and the overall new-hire experience.
- Conduct new-hire check-ins to assess the onboarding experience, gather feedback, address routine questions or concerns, and identify themes or issues for escalation. [LC1]
- Serve as first point of contact for routine employee HR inquiries, independently resolving questions within established policies and practices and escalating more complex matters as appropriate.
- Maintain HR dashboards, trackers, and recurring reports, ensuring accuracy of workforce metrics; identify discrepancies and coordinate resolution as needed.
- Serve as knowledgeable resource for routine HRIS transactions and processes within ADP Workforce Now, including recruiting, onboarding, employee data, reporting, and other HR modules.
- Maintain and audit HR data to support accuracy, completeness, and consistency across HR systems and reporting.
- Generate recurring and ad hoc HR reports and analyze workforce data, identifying trends or discrepancies.
- Identify opportunities to streamline HR workflows, improve documentation, and enhance the efficiency and consistency of HR processes.
- Develop and maintain process documentation, templates, PowerPoint presentations, and Quick Reference Guides for recurring HR activities
- Participate in testing and implementation of HR system enhancements, process changes, and new functionality.
- Compliance & Vendor Support:
- Serve as the secondary vendor management liaison for the HR department, supporting activities including creation of purchase requests, purchase orders, and ensuring the completion of vendor management requirement.
- Coordinate HR policy and handbook administration, including policy additions, updates, version control, approvals, distribution, and publication of approved materials.
- Performance Management:
- Facilitate the administration of the annual performance management cycle, including employee and manager communications, timelines, system activities, reminders, and reporting.
- Monitor completion throughout the performance cycle and proactively follow up with managers and employees regarding outstanding requirements.
- Maintain performance management documentation and records within applicable HR systems.
- Support preparation and delivery of performance management training and resources for managers and employees.
- Maintain and update performance management templates, tools, and Quick Reference Guides.
- Assist with reporting and analysis related to performance management participation and completion.
- HR Program & Employee Experience:
- Coordinate logistics and execution for professional development programs, workshops, and other HR-sponsored programs, including communications, materials, vendor coordination, registration, attendance tracking, and reporting.
- Administer tracking of mandatory training requirements and proactively follow up on outstanding completions.
- Coordinate employment engagement surveys and other employee listening activities, including communications, administration, participation tracking, and preparation of results.
- Develop analysis and presentation of employee engagement and HR program data in conjunction with HR team.
- Support the Summer Intern Advisory Panel and coordinate related programming, communications, meetings and events.
- Conduct exit interviews with departing employees, document and summarize feedback, and identify recurring themes or trends.
- Participate in cross-functional HR projects and initiatives, independently managing assigned workstreams and deliverables as appropriate.
- All other duties as assigned.
- Minimum three to five (3 - 5) years of progressively responsible human resources experience, preferably within a professional or corporate environment.
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred, or equivalent combination or education and relevant experience.
- Demonstrated experience Independently coordinating HR processes in areas such as recruiting, performance management, HR operations, employee programs, and/or HR systems.
- Experience using an HRIS and applicant tracking system; experience with ADP Workforce Now preferred.
- Strong working knowledge of general HR practices, employment-related recordkeeping, and the importance of consistency and confidentiality in HR administration.
- Strong organizational and project coordination skills, with demonstrated ability to manage multiple priorities with competing deadlines with limited supervision.
- Demonstrated ability to take ownership of recurring processes, manage deadlines, identify issues, and appropriately escalate matters requiring additional guidance.
- Highly organized, detail-oriented, and self-motivated, ability to manage multiple priorities.
- Ability to exercise discretion, sound judgment, and professionalism when handling sensitive and confidential information.

- Proficiency with Microsoft 365, including Excel, Word, PowerPoint, Outlook, Teams, and SharePoint.
This position has an annualized salary range of $70,200 - $105,500. The final salary offered within this range is dependent on various factors, including but not limited to the responsibilities of the position, the experience, skill set and other relevant qualifications of the applicant and internal pay equity.
