Facilities Specialist (Multi-Site Portfolio) Compensation: $29 – $32/hour based on experience Position Type: Long-term Contract | Full-Time Hours Position Summary The Real Estate & Facilities Specialist supports a large, multi-site commercial portfolio by managing work orders, coordinating with landlords and vendors, and driving issues through to completion. This is a long-term contract role supporting ongoing operations across an active portfolio. The role requires strong organization, consistent follow-through, and the ability to manage multiple priorities in a fast-paced environment. What You’ll Do Manage incoming work orders from branches and track through completion Determine Landlord vs. Tenant responsibility with guidance as needed Coordinate with landlords on repairs and follow up until resolved Obtain and review 2–3 bids for tenant-responsible work Ensure required documentation is in place (SCA, COI, W-9) prior to work Track and maintain HVAC and janitorial service contracts, ensuring agreements remain current and compliant Maintain organized records, notes, and documentation in internal systems Communicate clearly with Branch Managers, vendors, and internal teams Escalate issues as needed to keep work moving What This Role Requires Experience in facilities, property management, or related field Strong organization and attention to detail Ability to manage multiple priorities and meet deadlines Experience with vendor coordination, service contracts, or maintenance operations preferred Clear, professional communication skills Proficient in Microsoft Office (Excel, Outlook, Word) Work Style & Expectations Be reliable, professional, and respectful in all interactions Be present, engaged, and productive during working hours Follow direction and established processes Take ownership—do not let work sit or stall Consistently follow up with landlords, vendors, and internal teams Use sound judgment and common sense in day-to-day decisions Maintain a low-drama, team-focused approach What Success Looks Like Work orders are actively managed and completed on time Follow-ups are consistent and issues do not sit idle Landlords and vendors respond due to persistence and clear communication Service contracts remain current and compliant Branch teams feel supported and informed #J-18808-Ljbffr Lkjordan
