DIMENSION AND DESCRIPTION
Primary Purpose:
Employee Health Specialist: To ensure all staff practicing at Cass Regional Medical Center and patients are not at risk of infections and health related concerns. To provide support for onboarding, orientation, ongoing monitoring, and best practices for staff safety through vaccinations and education.
Medical Staff Assistant: To provide administrative and clerical support to the Medical Staff Office by assisting with credentialing, privileging, provider enrollment, committee support, and maintenance of provider records. Serves as a backup administrator for the Cactus credentialing software system and assists with hospital and payer insurance credentialing activities.
Formal Policy-Setting Responsibilities:
No formal responsibility. The policies associated with the job's purpose and essential responsibilities are established by others.
Routine Decision Making:
Determines appropriate actions when staff have exposures, report illnesses/concerns, and obtain initial credentialing requirement documentation.
Determines course of action for routine credentialing follow-up, provider file maintenance, scheduling questions, document collection, and prioritization of assigned projects within established guidelines.
Formal Supervisory Responsibilities:
No formal supervisory responsibility
Preferred
- Graduate of an accredited medical assistant program, License Practical Nurse (LPN) or associate degree in healthcare related field
- Previous experience in employee health, infection prevention, Medical staff services, credentialing, provider enrollment, HR or occupational Health
- Knowledge of credentialing software systems (Cactus).
- CPCS, CPMSM, CMA or other related certification
- Infection control or occupational health experience.
PART TWO: ESSENTIAL RESPONSIBILITIES AND TASKS for
Employee Health Specialist (0.5 FTE)
- Provide Employee Health Services to staff as needed and support the Infection Control Specialist. May include but not limited to the following:
- Clinical knowledge of diseases and conditions that are required to be reported to the local or state health departments to help guide the follow-up processes with the physician and patients based on certain criteria such as animal bites and STI's.
- Maintain appropriate documentation of all immunizations given to staff and data input into the state immunization registry as required.
- Works in conjunction with Infection Control Specialist to coordinate, plan, and operate the annual flu vaccine clinics to ensure influenza vaccinations are available to staff.
- Review and evaluate all pre-employment employee health items for newly hired employees in coordination with infection control and human resources. Responsible for creating titer letters and communication to new hires.
- Works in conjunction with Infection Control Specialist to maintain employee health software program
- Participates in all ongoing employee health initiatives in collaboration with infection control and human resources.
- Maintains and ensures confidentiality of patient information and medical records.
- Responsible for scheduling and assisting with annual N95 and Papr fit testing for staff. Evaluate staff for any medical complications and assess for appropriate fit and compliance with fit testing.
- Supports the duties of the Infection Control Coordinator whenever they are unavailable.
- Assists with the education provided in the Care Learning modules, competency fair stations, and any other staff education on an as-needed basis related to current concerns.
- Responsible for onboarding new agency staff by reviewing titers, fit testing and other pertinent information.
- Assists with workers' compensation claims, scheduling any needed follow-up visits, follow-up with the employee and workers' compensation group regarding all claims and any required reporting for such.
- Review any potential accommodations recommended by a provider as a new employee or return to work after a leave of absence for an employee illness, FMLA, or workers' compensation, in conjunction with HR.
ESSENTIAL RESPONSIBILITIES AND TASKS for
Medical Staff Assistant
- Provides administrative and credentialing support to the Medical Staff Office (50% of time).
- Accepts clerical and administrative assignments from the Medical Staff Coordinator.
- Assists with provider appointment, reappointment, privileging, and credentialing processes.
- Maintains physician, advanced practice provider, and dependent healthcare practitioner files.
- Assists with collection, verification, tracking, and filing of credentialing documentation.
- Tracks provider licenses, DEA registrations, BNDD registrations, board certifications, malpractice insurance, and other required credentials.
- Monitors expiration dates and communicates renewal requirements to providers.
- Ensures documents are professionally formatted and maintained for accessibility and regulatory compliance.
- Maintains scanned and electronic provider records.
- Assists with annual provider dues billing and related communications.
- Provides support to physicians, advanced practice providers, and hospital leadership regarding credentialing-related requests.
- Maintains confidentiality of all credentialing, peer review, and provider information.
B. Serves as backup administrator for the Cactus credentialing system (10% of time).
- Assists with maintenance of provider demographic, credentialing, privileging, and appointment information within Cactus.
- Performs data entry and document management functions within the Cactus system.
- Generates reports and provider data as requested.
- Assists with troubleshooting and resolution of routine Cactus system issues.
- Serves as backup support during the absence of the Medical Staff Coordinator.
- Assists with audits and data validation activities to ensure accuracy of provider records.
C. Assists with hospital and insurance credentialing activities (30% of time).
- Assists with hospital provider enrollment and payer credentialing applications.
- Maintains records of payer applications, approvals, revalidations, and renewals.
- Tracks credentialing status with commercial, government, and managed care payers.
- Coordinates collection of documentation required for enrollment and recredentialing.
- Communicates with insurance carriers and credentialing organizations as assigned.
D. Provides committee and departmental support (10% of time).
- Assists with preparation of Medical Staff Committee, Credentials Committee, Medical Executive Committee, and Board credentialing packets.
- Maintains meeting records and supporting documentation.
- Types and maintains meeting minutes as assigned.
- Performs data searches regarding regulations, accreditation standards, statistics, and healthcare information as requested.
- Provides communication to involved departments via email, telephone, or other approved methods.
- Assists with special projects and regulatory surveys as assigned.
