Description

Our client, the U.S.'s largest commercial real estate services firm, has an exciting opportunity for a customer-focused Workplace Experience Coordinator to support a professional client office in Chicago, IL . This is 3-month contract role, with the possibility of extension, is ideal for someone with strong customer service and administrative skills who enjoys being the first point of contact for employees, guests, and visitors.

The Workplace Experience Coordinator will work closely with the receptionist and support the day-to-day operations of the client office, helping create a welcoming, organized, and professional workplace environment. Schedule is Monday-Friday, either 7:00 AM-4:00 PM or 8:00 AM-5:00 PM.

What You'll Do

• Serve as a welcoming first point of contact for employees, guests, and visitors entering the office.
• Greet visitors professionally and assist with visitor registration, badges, parking passes, and security procedures.
• Answer incoming phone calls and direct inquiries appropriately.
• Work closely with the receptionist to support front desk and workplace operations.
• Coordinate workplace services, including office supplies, mail, onboarding support, and general office requests.
• Manage and coordinate janitorial and maintenance work orders as needed.
• Respond to employee and guest questions, requests, and concerns with a strong customer service mindset.
• Coordinate with vendors providing goods and services to the office.
• Assist with planning and coordinating onsite meetings and events, including room setup, supplies, and event logistics.
• Help arrange business, dining, and recreational activities on behalf of employees or guests when requested.
• Follow property-specific security and emergency procedures.
• Help maintain a professional, organized, and welcoming office environment.
• Create presentations and communicate information to groups when needed.
• Follow established procedures while using sound judgment to resolve routine workplace issues.

What You'll Need

• High School Diploma or GED.
• Up to 2 years of experience in customer service, hospitality, reception, office coordination, workplace services, or a related field.
• Strong customer service and communication skills.
• Professional and welcoming demeanor.
• Ability to interact confidently with employees, clients, guests, and vendors.
• Strong organizational skills and attention to detail.
• Working knowledge of Microsoft Office, including Word, Excel, and Outlook.
• Ability to manage multiple requests and priorities in a busy office environment.
• Comfortable working as part of a team and supporting a variety of workplace needs.
