Recruiting Coordinator

We are looking for a highly organized and detail-oriented Part-Time Recruiting Coordinator to support our Talent Acquisition team by providing a positive experience for candidates while keeping the interview process organized and on track. The Recruiting Coordinator will primarily support interview scheduling and candidate logistics, including coordinating complex onsite interviews, arranging candidate travel, and serving as a key point of contact throughout the interview process. Success in this role requires exceptional attention to detail, strong communication skills, responsiveness, and the ability to anticipate needs and quickly adjust when schedules change. Key Responsibilities Coordinate and schedule candidate interviews across multiple recruiters, hiring managers, and interview teams, including complex multi-person and onsite interview schedules. Manage all aspects of onsite candidate visits, ensuring candidates have a welcoming, organized, and professional experience from arrival through departure. Serve as a primary logistical point of contact for candidates, providing clear and timely communication regarding interview schedules, office details, travel arrangements, and other relevant information. Arrange candidate travel, including airfare, hotel accommodations, ground transportation, and other logistics as needed. Prepare and distribute interview schedules and ensure candidates, recruiters, and interview teams have accurate and up-to-date information. Coordinate last-minute scheduling changes and resolve conflicts quickly while maintaining a positive candidate and hiring manager experience. Partner closely with recruiters to understand scheduling priorities and anticipate upcoming coordination needs. Maintain accurate candidate and interview information within the applicant tracking system and other recruiting tools. Assist with recruiting projects, reporting, documentation, and other Talent Acquisition initiatives as needed. Qualifications Previous experience in recruiting coordination, administrative support, or similar coordination-intensive role. Prior experience scheduling candidates for onsite interviews and managing complex interview schedules is strongly preferred. Experience arranging candidate or business travel, including flights, hotels, and ground transportation. Exceptional attention to detail and a demonstrated ability to produce accurate work in a fast-moving environment. Strong organizational and time-management skills with the ability to manage multiple priorities and shifting schedules. Excellent written and verbal communication skills with a professional, service-oriented approach. Strong interpersonal skills and the ability to interact effectively with candidates and employees at all levels of an organization. Ability to anticipate needs, identify potential scheduling or logistical issues, and proactively resolve them. Sound judgment and discretion when working with confidential candidate and employee information. Proficiency with Microsoft Outlook and Microsoft Office; experience with applicant tracking systems and recruiting technology preferred. This role is based out of our office in Walnut Creek. Approximately 20 hours per week, with some flexibility in how hours are structured based on business and recruiting needs. Must have the flexibility to be onsite on additional days when needed to support candidate interviews and onsite visits.
