Position Summary
 
The Onboarding Specialist is responsible for managing and coordinating all aspects of the new hire onboarding process while delivering a high level of customer service. This role ensures that new hires, transfers, and promotions meet all compliance requirements before their start date and that onboarding activities are completed accurately, efficiently, and in alignment with organizational policies. The Onboarding Specialist serves as the primary point of contact for onboarding status updates, providing timely communication, support, and guidance to all stakeholders throughout the process.
 
How You’ll Make an Impact
 

• Manages the onboarding process to prepare and clear new hires for their start date, including compliance processing, technology access requests, status tracking, and communication with recruiters and hiring managers.
• Maintains and updates the onboarding tracking spreadsheets to ensure accuracy and timely processing of all hires.
• Provides weekly status updates on all new hires and serves as the primary contact for inquiries related to onboarding.
• Ensures 100% compliance for every new hire, transfer, and promotion; identifies and resolves compliance issues and recommends best-practice solutions.
• Reviews and makes clearance decisions for new hires, ensuring timely communication of any onboarding risks or challenges.
• Stays current with compliance requirements across all business entities and communicates updates to the team as needed.
• Conduct file audits to confirm onboarding documentation is complete, accurate, and compliant.
• Schedules candidates for required onboarding appointments, collects paperwork and licenses, initiates background checks, and ensures completion of required medical documentation and certifications.
• Coordinate candidate processing appointments and orientation attendance within the designated period.
• Assists with the facilitation and coordination of General Orientation sessions to ensure organizational readiness.
• Prepares orientation compliance documents and completion certificates for employees upon successful completion of General Orientation.
• Assists in planning and facilitating Human Resources, recruitment, and hiring events as needed.
• Processes, reconciles, and coordinates payment of onboarding-related screening invoices.
• Supports survey preparation across all business lines as a key compliance team member.
• Provides administrative support, including managing employee requests and office traffic.
• Performs all other duties as assigned.

• Bachelor's degree in Human Resources or a related field; or 6-12 months of related experience/training; or an equivalent combination of education and experience.
• Demonstrates proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Possesses effective communication and collaboration skills and has a strong customer service orientation.
• Shows keen attention to detail and excellent organizational skills to manage multiple tasks simultaneously.
