About the Role: A Specialty Department Concierge ensures that the pet owner's experience is exceptional throughout the appointment process in partnership with the medical, client care, and call center teams. This person serves as the primary, non-medical coordinator between departments to ensure a seamless interdepartmental visit and provides fluid information of next steps in the appointment process. A Specialty Department Concierge role is not an entry level position, and therefore a clear understanding of the interworking of Veterinary Hospitals that comes from the experience of working in a Veterinary Hospital for a minimum of 1 year is a requirement for this role. A Specialty Department Concierge consistently: · Monitors the progress of the pet from check-in to check-out and provide ongoing communication to the client and interdepartmental teams, keeping everyone aware of all activities including the pet's location, treatment provided, changes in cost, and next steps. · Accurately updates and maintains client/pet records and files in accordance with Ethos and legal requirements. · Manages the appointment schedule for each day and review upcoming appointments for the week in advance of the clients' visit. · Assists the clinical team with follow-up activities including follow-up communications and post-appointment tasks. · Works under the direction of the medical team to call-in/submit online prescription orders for patients. · Assists with financial processing and answers any general questions that may arise during the visit. · Prepares and reviews documents and medical records accurately and completely to ensure a smooth check-out process for clients. · Schedules follow-up visits and procedures. · Submits applicable insurance claims on behalf of the client - or provides the client with the documentation needed for the client to submit their claim. Schedule: Four ten-hour shifts per week - weekend shift required. Starting Pay Scale: $21-$22/hour - starting pay is based on experience within the veterinary industry Holidays: Required to work 3 holiday shifts.

About You:

· Must possess high ability to multi-task, prioritize and organize effectively with professionalism.

· Effective verbal and written communication skills, with the ability to adapt to different communication styles.

· Must have a minimum of 1 year experience working in a veterinary hospital in a client-facing role or as a veterinary assistant or technician.

· Fundamental working knowledge of windows-based programs.

· Minimum Qualifications:

· High school education or equivalent

· Minimum of 1 year working in a Client Services, VA, or Veterinary Technician role at a Veterinary Hospital is required to be considered for this role.

· 2-5 years of experience in a professional customer-facing environment strongly preferred.
