This role is essential to ensuring smooth daily operations, positive family interactions, and efficient support for staff, students, and the school leadership team. Key Responsibilities Front Office & Communication Serve as the first point of contact for students, families, staff, and visitors. Answer and route phone calls; provide accurate information with professionalism and care. Greet visitors, determine their needs, and direct them appropriately. Read, route, and respond to incoming mail; prepare and send routine correspondence. Maintain the school calendar and assist with communication such as newsletters. Administrative & Clerical Support Manage the principal's schedule, appointments, and travel arrangements. Prepare, copy, and file documents, correspondence, and reports. Take meeting minutes and maintain organized records. Assist with staff schedules, including absences and coverage needs. Support substitute teachers with check-in, assignments, and daily needs; arrange coverage when substitutes are unavailable. Recordkeeping & Reporting Maintain accurate records for budgets, student activity accounts, petty cash, and other school funds. Prepare statistical reports and assist with end-of-year reporting. Track employee absences, time slips, key checkout, and injury reports. Maintain inventories of office equipment, supplies, and instructional materials. Budget & Purchasing Assist with budget preparation and expenditure tracking. Prepare purchase requisitions and maintain documentation for financial transactions. Qualifications High school diploma or GED required. Valid Arizona IVP Fingerprint Clearance Card. Prior clerical or administrative experience preferred; school setting experience beneficial. Ability to pass required clerical testing (if applicable). Strong written and verbal communication skills. Ability to manage multiple tasks with accuracy and professionalism. Basic math skills, including ability to compute rates, ratios, and percentages. Ability to follow detailed instructions and solve routine problems. Strong customer service orientation and ability to maintain confidentiality. Physical Requirements This position requires frequent sitting, typing, talking, and hearing. Occasional standing, walking, reaching, bending, stooping, kneeling, and lifting up to 25 pounds may be required. Movement around the campus is frequent. Vision requirements include close vision and the ability to adjust focus. Work is performed in a busy school office with moderate noise levels. Duties may occasionally require exposure to outdoor weather conditions including heat, cold, wind, or rain. Dusty or humid conditions may occur.
