Salary: $68,966 - $103,450

Location: Maricopa Association of Governments, downtown Phoenix, Arizona. This role is fully in-person from the MAG office.

About MAG: MAG is a regional planning agency that develops solutions in areas such as transportation, environmental and air quality, and human services. MAG serves a thriving region of 5 million people. Our members include 27 cities and towns, three Native nations, and Maricopa and Pinal counties. Our planning area encompasses more than 10,000 square miles.

The Position

MAG seeks an energetic, motivated, detailed and team-oriented professional to support the executive office and policy committees. Main responsibilities include:

• Facilitating preparation and execution of MAG policy committee agendas and meetings
• Performing various administrative activities during policy committee meetings
• Managing calendars for the executive director and executive team
• Facilitating executive communication
• Building relationships with MAG member agencies and stakeholders
• Responding to requests from internal and external stakeholders
• Supporting and managing special projects at the direction of the executive office
• Providing various executive support
• Screening calls, emails, and visitors on behalf of the executive office
• Organizing and maintaining files, databases, and other information systems
• Drafting documentation for procedures and processes
• Managing Continuity of Operations Plan (COOP) for the Administrative Division

The Candidate

The most successful candidate will have the following knowledge, skills and abilities:

• Applying general office practices, administrative procedures, records management, and other organizational techniques
• Creating reports and presentations
• Demonstrating effective written and verbal communication
• Providing a high level of customer service and stakeholder engagement
• Typing and entering data with minimal errors
• Utilizing common business software applications
• Adaptable in performing a wide range of duties, frequently shifting between tasks of varying nature or complexity
• Adapt to rapidly changing and demanding environments
• Analyze and think critically, draw conclusions, and report results accurately
• Develop and maintain effective and appropriate working relationships
• Exercise sound judgement to make critical decisions
• Maintain confidentiality of information and professional boundaries
• Manage multiple projects with competing timelines effectively
• Organize and maintain paper documents and electronic files accurately
• Understand and complete oral and written directions

Technology Skills: Proficient in Microsoft Windows and Microsoft Office products, including Word, Outlook, PowerPoint, and Excel.

Experience and Education: Bachelor's degree from an accredited college or university in Business, Political Science, Statistics, Urban Planning, or a related field. At least 3 years executive level administration support or 5 years general administrative support. Any equivalent combination of training, education, and experience that provides the required skills, knowledge and abilities.
