We are seeking a dynamic professional to join a dedicated team, playing a pivotal role in ensuring seamless surgical operations and outpatient practice efficiency. In this position, you wont just be performing tasks; youll be the vital link, the empathetic guide, and the organizational powerhouse that directly contributes to exceptional patient care and the smooth functioning of critical medical procedures across multiple specialties. Your expertise will directly impact patient journeys, provider productivity, and the overall success of the mission to deliver outstanding healthcare.

What Youll Do:

• Coordinate surgical procedures and schedule patient appointments, ensuring seamless patient flow and an exceptional patient experience.
• Manage comprehensive administrative tasks, including front desk operations, reception, and general office support.
• Handle critical patient services such as referrals, insurance verification, prior authorizations, and specialty testing coordination.
• Serve as a primary point of contact, answering and triaging phone calls, relaying messages, and providing essential routine information to patients, providers, and staff.
• Provide robust support to providers, managing calendars, appointments, meetings, and travel arrangements, as well as assisting with expense reconciliation.
• Prepare, review, and maintain vital reports, presentations, correspondence, and other administrative documents.
• Organize and facilitate meetings, including scheduling, agenda preparation, note-taking, and follow-up actions.
• Act as a crucial liaison between providers, staff, patients, and external stakeholders, fostering effective communication and collaboration.
• Maintain meticulous electronic and physical records, ensuring data integrity and accessibility.
• Oversee office supply inventory, coordinate equipment maintenance, and manage IT support needs to ensure operational continuity.
• Contribute to the planning and execution of special projects, events, and departmental initiatives, monitoring timelines to ensure deadlines are met.
• Support cross-coverage for surgical scheduling across a wide range of surgical specialties.

What Youll Bring:

Required Qualifications:

• High School Diploma or equivalent.
• 5-7 years of administrative experience, with a strong preference for a healthcare setting.
• Demonstrated strong surgical scheduling or coordination background.
• Proficiency with Epic systems, essential for covering diverse surgical specialties.

What Will Set You Apart:

• Associates degree.
• 1-2 years of experience supporting senior-level staff.
• Prior experience within a large, complex healthcare system, particularly if possessing Epic expertise.
