NOW HIRING: Event Operations & Executive Support Coordinator Location: Sunny Isles Beach, FL 33160 Schedule: Full-Time | 5 Days Onsite Employment Type: Contract Temporary Position Not a standard Monday–Friday, 9:00 AM–5:00 PM schedule Overtime eligible; flexibility to work evenings and extended hours is required as business needs dictate We are partnering with a prestigious private organization to identify a polished, highly organized Event Operations & Executive Support Coordinator to support the planning and execution of a high-profile event. Responsibilities Partner closely with the Lead Executive Assistant to support all event planning and operational initiatives. Coordinate invitations, guest communications, and RSVP management for large-scale VIP events. Organize and maintain guest lists, attendee databases, and event tracking documents. Coordinate travel, transportation, accommodations, dining reservations, and VIP logistics. Develop event schedules, calendars, itineraries, and operational timelines. Communicate with executives, high-profile guests, vendors, and internal stakeholders. Coordinate Ticketmaster tickets and guest experiences. Order catering, food, office supplies, and event materials. Provide administrative support, correspondence, and special project assistance. Deliver a seamless, white-glove experience for VIP guests from invitation through event execution. Provide onsite operational support before, during, and after events. Anticipate needs, troubleshoot issues, and ensure flawless event execution. Qualifications 3+ years of experience in event operations, executive support, hospitality, office operations, or a related field. Experience coordinating complex logistics in a fast-paced environment. Exceptional organizational skills with outstanding attention to detail. Strong written and verbal communication skills. Proficiency with Microsoft Office Suite, Outlook, Excel, and AI productivity tools. Professional, polished, resourceful, and service-oriented. Ability to manage multiple priorities while maintaining discretion and confidentiality. Comfortable interacting with executives, VIP guests, and high-profile clientele. Must be available to work onsite five days per week in Sunny Isles Beach. Flexibility to work evenings, overtime, and extended hours as required during the event period.
