Construction Coordinator

Description About the Role Gold Medal Pools is seeking an organized, detail-oriented Construction Coordinator to help move sold pool projects from contract to active construction. This position serves as an important connection between our Sales and Construction teams. The Construction Coordinator ensures that each project has the required documentation, permits, system information, and initial scheduling in place before construction begins. The ideal candidate is proactive, dependable, and comfortable managing multiple projects at different stages. Success in this role requires strong follow-through, clear communication, and the ability to identify missing information or potential delays before they affect the construction schedule. What You’ll Do Coordinate the Sales-to-Construction Handoff Receive and review sold-job information from the Sales team. Confirm that contracts, plans, selections, job details, and other required documentation are complete and accurate. Identify missing or inconsistent information and follow up with the appropriate team members. Maintain organized, current, and accurate project files. Manage the Permitting Process Prepare and submit permit applications and supporting documentation to the appropriate authorities. Track permit activity from initial submission through approval. Follow up on outstanding requirements, corrections, and approvals to minimize avoidable delays. Communicate permit updates, requirements, and potential issues to the appropriate team members. Ensure approved permits and related documents are properly saved within the project file. Build and Maintain Projects in Company Systems Create new projects in the company’s construction management system. Enter accurate project details, documentation, selections, scopes of work, and other required information. Verify that each project is properly built and construction-ready. Maintain accurate project information throughout the pre-construction and initial construction stages. Coordinate First-Phase Scheduling Confirm that projects are ready before scheduling the first phase of construction. Coordinate schedules with internal teams, subcontractors, inspectors, and customers as needed. Communicate scheduling details and changes to the appropriate parties. Monitor scheduled work and proactively address conflicts, missing information, or delays. Help ensure a smooth transition from permitting and administration into active construction. Track Progress and Communicate Effectively Monitor assigned projects as they move through each pre-construction requirement. Maintain visibility into outstanding documentation, permits, approvals, and scheduling needs. Escalate delays, risks, and unresolved issues to the Construction Office Manager. Provide consistent communication between Sales, Construction, and other involved teams. Follow established department procedures while identifying opportunities to improve efficiency. Preferred Qualifications Previous experience in construction coordination, permitting, project administration, scheduling, or a related field. Experience working with municipal permitting offices, inspectors, subcontractors, or construction teams. Experience using construction-management or project-tracking software.
