Description

Our client, the U.S.'s largest commercial real estate services firm, has an exciting opportunity for an organized, customer-focused professional to join a collaborative workplace services team as a Workplace Experience Coordinator in East Setauket, NY . This 5-month contract role is ideal for someone who enjoys interacting with people, coordinating vendors and service requests, and taking on a variety of administrative and workplace support responsibilities.

This is a client-facing position where professionalism, adaptability, and excellent communication are essential. The successful candidate will serve as a key point of contact for employees, visitors, vendors, and internal teams while helping ensure the workplace operates smoothly each day. Schedule is Monday-Friday, 8:00 AM-5:00 PM

What You'll Do

• Serve as a friendly and professional first point of contact for employees, guests, and visitors.
• Provide exceptional customer service and respond to workplace-related questions and requests.
• Manage incoming phone calls and direct inquiries to the appropriate individuals or teams.
• Monitor and respond to email communications in a timely and professional manner.
• Assist with purchase order management and related administrative activities.
• Coordinate with vendors and suppliers to support workplace services and ensure requested services are completed.
• Manage and track maintenance and janitorial work orders.
• Assist with workplace inventory and supply management.
• Support canteen and workplace amenity needs.
• Assist with meeting, catering, and lunch coordination.
• Coordinate workplace services, including mail and office supply support.
• Support onboarding and other employee workplace needs.
• Maintain accurate documentation and records related to workplace activities.
• Coordinate with vendors who provide services or goods to the workplace.
• Assist with on-site events, including coordinating spaces, supplies, setup, and breakdown.
• Follow property-specific security and emergency procedures.
• Acknowledge and resolve employee, guest, and client requests in a professional, customer-service-focused manner.
• Support special projects and ad hoc workplace initiatives as needed.
• Adapt to changing priorities and take on a variety of responsibilities based on business needs.

• 1-2 years of professional or administrative experience.
