The Workplace Experience Coordinator is responsible for delivering a world-class customer service experience to employees, visitors, and clients. This client-facing role supports workplace operations, vendor coordination, administrative functions, and facility services while ensuring a positive workplace environment.

Key Responsibilities

• Serve as the first point of contact for employees, visitors, and guests.
• Welcome visitors in a professional and friendly manner.
• Issue visitor and parking passes while following security procedures.
• Support workplace services and daily office operations.
• Coordinate onboarding activities for new employees.
• Manage workplace inventory and office supplies.
• Provide canteen and workplace amenity support.

• Answer and direct phone calls professionally.
• Respond to employee, guest, and client inquiries.
• Resolve service requests and complaints with a customer-focused approach.
• Provide clear and timely communication through email and phone.

• Manage purchase orders (PO Management).
• Support vendor and supplier coordination.
• Assist with work order administration and tracking.
• Maintain workplace documentation and records.
• Support special projects and ad hoc assignments.

• Coordinate meetings, catering, and lunch arrangements.
• Organize on-site events and workplace activities.
• Secure event space and oversee room setup and breakdown.
• Arrange recreational, dining, and business activities as requested.

• Coordinate with vendors providing workplace services and supplies.
• Support janitorial and maintenance work order requests.
• Monitor workplace services to ensure smooth daily operations.
• Follow property-specific safety, security, and emergency procedures.

Required Qualifications

• High School Diploma or GED.
• 0-2 years of relevant work experience.
• Strong customer service orientation.
• Ability to follow established procedures and work routines.
• Basic problem-solving skills.
• Strong organizational and multitasking abilities.
• Effective verbal and written communication skills.
• Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
