Executive Administrative Assistant

$33 - $37 per hour

Immediate need for a talented Executive Administrative Assistant . This is a 12 months contract opportunity with long-term potential and is located in Plano TX (Onsite) . Please review the job description below and contact me ASAP if you are interested.

Pay Range: $33 - $37/hour. Employee benefits include, but are not limited to, health insurance (medical, dental, vision), 401(k) plan, and paid sick leave (depending on work location).

Key Responsibilities:
  • Calendar management - scheduling meetings both internally and externally, including coordination with BPOs and across multiple sites
  • Travel arrangements - submission and scheduling of travel itineraries for Mario and Christopher
  • Expense reporting - managing expense submissions on behalf of both executives
  • Approvals coordination - facilitating various approval workflows (e.g., through Knox platform)
  • DocuSign setup - preparing and routing documents requiring digital signatures for Mario and Christopher
  • EA network coordination - liaising with other Executive Assistants in the building to accommodate and align executive schedules
  • Space planning - supporting people placement and ensuring proper seating / space allocation across the team
  • Event facilitation - assisting with monthly events, including catering coordination and logistics for any other event-related requirements
Key Requirements and Technology Experience:
  • Strong calendar management and scheduling experience (internal external, multi-site)
  • Travel coordination and submission experience
  • Expense reporting proficiency
  • Approvals/workflow management (Knox platform experience a plus)
  • DocuSign or equivalent e-signature platform familiarity
  • Microsoft Office Suite - Word, PowerPoint, Excel (standard office tools confirmed; Workday also referenced in JD).
  • High attention to detail
  • Strong interpersonal and communication skills for cross-functional EA coordination
  • Ability to manage multiple priorities across two senior executives
  • Proactive and organized approach to event and space planning
  • Microsoft Office Suite (Word, Excel, PowerPoint)
  • Knox (approvals platform)
  • DocuSign (e-signature)
  • Workday (referenced in JD for HR/admin functions)
  • Beeline VMS (supplier-side platform for this requisition)
