Orbach Collection Maintenance & Student Project Coordinator

Under the general supervision of the Head of Collection Maintenance, the incumbent in this position is responsible for searching for materials patrons or library staff members are unable to locate, advising them of search results and referring them to other library departments when appropriate; performs work independently and uses paraprofessional and advanced operational and technical skills involving a general knowledge of library practices and procedures. Assists in hiring, training, scheduling and evaluating student assistants. Assists in directing student assistants in maintaining an efficient workflow for the Collection Maintenance unit. Assists with special projects as needed. The incumbent's primary responsibilities and tasks will be at the Orbach Science Library, but will be assigned hours in Collection Maintenance at the Rivera Library as needed. Must be able to work Monday through Friday 8am to 5pm. Must be able to work flexible hours for staffing in backup situations (days, evenings, weekends and holidays). Hours may vary from quarter to quarter. The full salary range for the position is $62,535.60 - $92,394.00 annually. However, the expected pay scale is up to $84,522.24 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.

Educational Requirements

Experience Requirements

Experience in a computer-reliant work environment and the ability to learn specialized software. Required

Demonstrated experience using an integrated library management system such as Ex Libris or similar. Required

Experience working with the public in a related service oriented environment. Required

Experience creating and updating item records in an ILS. Required

Demonstrated experience using spreadsheet, word processing, and database programs. Required

Previous academic library experience or similar. Preferred

Demonstrated skill in organizing, monitoring, and setting priorities for a heavy workload with multiple tasks and competing deadlines. Preferred

Special Conditions

Must be able to bend, stoop, lift, and push loaded book trucks weighing up to approximately 250 lbs. Required

Minimum Requirements

Math skills sufficient to accurately gather and compile statistics.

Communication and interpersonal skills sufficient to work cooperatively with library staff, student assistants, and patrons with diverse backgrounds.

Preferred Qualifications

Knowledge of the Library of Congress Classification system.

Knowledge of the Superintendent of Documents (SuDocs) classification system.

Demonstrated ability to export data.

Knowledge of stacks maintenance procedures and practices.

Demonstrated success working in a collaborative, team-based work environment.

Department Custom Scope

Under the general supervision of the Collection Maintenance Supervisor, the incumbent in this position is responsible for performing collection maintenance duties, as well as training and coordinating student assistants to maintain an efficient workflow for all aspects of the Collection Maintenance unit, primarily in the Orbach Library. The incumbent also performs basic to mid-level repairs on damaged books, directs student assistants in processing and treating newly cataloged items, and oversees the progress of various long-term projects. Performing specialized duties, the incumbent frequently utilizes paraprofessional, operational, and technical skills, including a general knowledge of library practices and procedures. Responsibilities include assisting with hiring, training, scheduling, and evaluating student assistants, as well as supporting special projects. While the incumbent's primary duties are located at the Orbach Science Library, assignments may include hours in Collection Maintenance at the Rivera Library as needed. The position requires availability Monday through Friday, 8:00 AM to 5:00 PM, with flexibility for backup staffing as required.

Key Responsibilities

Collection Maintenance Actively performs collection maintenance duties while maintaining current knowledge of, and implementing, all associated procedures and policies. Responsible for directing the work of student employees in Orbach Library, including training on all policies and tasks, assigning tasks, updating schedule changes on the student calendar, and addressing minor performance issues. Monitors accuracy of student employees' work and checks for completion of assignments, which may include walking all floors of the library, kneeling, reaching, and pushing loaded book trucks. Performs general and specialized search procedures for items not found in the stacks, which may include walking all of the library floors, bending, kneeling, reaching, and gripping. Uses the integrated library management system (Alma) to update and track items through all stages of the search process. Monitors Stacks areas (which may include walking all of the library floors on a regular basis, bending and reaching) and makes recommendations for workflow. Assists in maintaining shelves in excellent order. Ensures accuracy of shelving end panels (range guides), which requires reaching, bending, and use of a stepstool. Assists in organizing and maintaining the accuracy of items in the stacks. This includes the maintenance and creation of item records. Processes problem items, such as items without item records, incorrect information in item records, repair, or items in need of new labels. Interprets bibliographic records and sends items with complex bibliographic errors to appropriate units for correction. Responsible for shelving of non-standard materials such as WRCA, Maps, and Reference materials. - 35%

Preservation Performs basic to mid-level preservation procedures, including applying dust jackets and cover ups, and repairing heads, tails, and hinges using specialized equipment such as the fast back machine. These duties require manual precision, including gripping, measuring, and cutting with an X-acto knife. Trains and directs student assistants in processing newly cataloged items, ensuring all materials remain organized on correctly labeled shelves and carts, which involves pushing loaded book trucks.
