Patient Experience Coordinator – Luxury Boutique Facial Plastic Surgery Clinic

We are seeking a Patient Experience Coordinator to join our high-end boutique facial plastic surgery clinic in New York City. This role is ideal for a polished, highly organized, and service-oriented professional who thrives in providing VIP-level care to discerning clientele.

Key Responsibilities:

• Act as the first point of contact , managing all patient inquiries via phone, email, and in person, and seamlessly converting inquiries into consultations.
• Provide a concierge-style experience , greeting patients upon arrival, offering tours, and ensuring they feel comfortable and valued.
• Oversee every detail of the patient journey , from initial contact to post-procedure follow-ups, ensuring a flawless and personalized experience.
• Discuss pricing and financing options with discretion and professionalism.
• Coordinate travel and accommodations for out-of-town patients, ensuring a seamless experience.
• Handle scheduling, phone calls, meetings, and administrative support to assist the surgeon and team.
• Maintain a clean, elegant, and welcoming environment , ensuring fresh flowers, organization, and overall ambiance reflect the luxury experience.
• Support and oversee daily office operations , ensuring efficiency and a patient-centered workflow.
• Be a team player —in our boutique setting, everyone is cross-trained and expected to step in wherever needed for the best experience of our patients and the success of our practice.

What We’re Looking For:

• A polished, professional, and poised individual with experience in luxury hospitality, high-end medical offices, or concierge services.
• Strong communication skills and the ability to multitask effortlessly in a fast-paced environment.
• An intuitive understanding of VIP service and the ability to anticipate patient needs.
• Comfort in discussing financial matters with professionalism and discretion.
• A proactive, self-motivated individual who takes ownership of the patient experience and consistently goes above and beyond.

Schedule & Benefits:
Hours: Monday – Friday, 9:00 AM – 5:00 PM

• Probationary Period: 8 weeks (during which either party may part ways at any time).
