Job Summary Coordinate the daily activities and operations of GME residency/fellowship programming in accordance with ACGME accreditation. Provide admin support to the Vice Chair of Education, Directors of programming, and Associate Program Directors. Coordinate special projects, prepare committee leadership activities, and manage didactics/lectures. Coordinate recruitment efforts and maintain databases such as Thalamus, ERAS, ABPN, ACGME, and MedHub. Manage and plan expenditures/reimbursements of the programs, travel - state and national, and educational activities. Input various forms into PeopleSoft and the Procurement Portal. Perform other duties as assigned by the Manager. Experience and Education Education Associate's Degree in business administration, healthcare administration, or related field. (Two years of related experience or 60 semester hours of college credit may substitute for an Associate's Degree) Experience may be required to submit to a federal background investigation. Preferred Education Bachelor's Degree Job Duties Coordinate and facilitate all aspects of the GME program, including educational activities (e.g., didactic sessions, conferences, grand rounds) and program-wide events (e.g., orientation, graduation, retreats). Conduct day-to-day administrative operations, including maintaining program records, databases, and accreditation documentation. Assist with resident recruitment, selection, and onboarding processes, including visa requirements, licensure, and credentialing. Provide assistance and support to residents/fellows on program policies, procedures, and administrative matters. Work closely with the Program Director to ensure program compliance with ACGME requirements and institutional policies. Assist the program leadership with program quality initiatives and improvement projects. Participate in professional development activities. Coordinate and facilitate resident/fellow evaluations, including scheduling, data entry, and analysis. Assist with the preparation and submission of all required reports and documentation to the ACGME, the Accreditation Council for Graduate Medical Education (ACGME), and other regulatory bodies. Maintain and update program letters of agreement with affiliated institutions and training sites. Assist with the coordination of accreditation site visits, special reviews, and annual program evaluations. Assist with the development, implementation, and tracking of resident wellness programs. Maintain effective communication with residents, fellows, faculty, staff, and other stakeholders. Utilize and maintain proficiency in relevant software systems, such as the Residency Management System (RMS), electronic health records (EHR), and other program-specific applications. Assist with program budget management, including monitoring expenditures, reconciling trainee clinical effort, and ensuring compliance with financial regulations and reporting requirements. Perform other duties as assigned.
