Medical Support Assistant (Advanced) (AMSA) performs difficult and responsible specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources. Duties and responsibilities include but are not limited to:

• Performing a variety of technical support duties that facilitate the work of physicians, physician assistants, nurses, nursing assistants, and other members of the medical facility who provide direct patient care.
• Responsibility for the overall coordination of clinic cancellations, clinic schedules to include appointment scheduling and changes, arrangements for special studies, appointment check ins/check outs, consult tracking, verification of doctor's orders and treatment orders, completeness and accuracy of all actions/documentation, making transportation arrangements for patients, and relaying medical test results to appropriate professional medical staff for immediate action.
• Initiates forms for authorization to perform surgery and other procedures, monitors the waiting areas for possible changes of patient conditions, and initiates appropriate measures in emergency situations.
• Coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilization Statistical Summary), ensures that the clinic setup is closely monitored to effectively support the needs of the clinic, and makes any necessary adjustments.
• Sets priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; identifies incomplete encounters and communicates findings to providers; as needed.
• Develop/maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies (e.g., assists with communications during the inpatient to outpatient discharge; communicates with non-VA medical facilities; facilitates/processes secure messaging with the patient and team; notifies patients of normal lab results; develops and manages a tracking system for follow up care such as consults, tests, etc.)
• Assigned to work in one or more of the following settings: Oncology, HIV, SCI, Military Sexual Trauma, or other areas in the facility where MSA services are required.
• Maintains confidentiality and ensures a patient's right to privacy is not compromised.
• Manages patient systems to verify and validate accuracy and resolve issues.
• Perform work related to the position, as assigned, such as working with patients to complete Release of Information (ROI) forms to pass to ROI team for further action, teaching patients how to sign up for the secure messaging system in MyHealtheVet, authenticating patient access in the secure messaging system in MyHealtheVet, and receiving and relaying messages between patient/provider using the secure messaging system, etc.

Work Schedule : : Monday - Friday Tuesday-Saturday, 7:00am - 3:30pm, 7:30am - 4:00pm, 8:00am-4:30pm, 8:30am -5:00pm, 10:30am-7:00pm Ward Admin includes rotating weekends and holidays (Work schedules are determined and approved by the supervisor)

Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements :

• United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
• Education: High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education.
• Licensure/Certification/Registration: None.
• English Language Proficiency: Candidates must be proficient in spoken and written English in accordance with 38 U.S.C. § 7403(f).

May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations : In addition to meeting the basic requirements stated above, the following qualifications criteria must be met in determining the appropriate grade assignment of candidates.

Medical Support Assistant (Advanced), GS-06

• Experience: One (1) year of creditable experience equivalent to the next lower grade. Examples of experience include but are not limited to: Scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments.

In addition to the experience above, the candidate must demonstrate the following Knowledge, Skills, and Abilities (KSAs):

1. Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
2. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
3. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
4. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
5. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
6. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
