Field CoordinatorThe Field Coordinator supports successful project delivery by tracking project progress, maintaining schedules, assembling and auditing project completion packages, and preparing invoices and billing documentation. This role serves as a central communication point between customers, project managers, project planners, and superintendents while ensuring accurate data entry and organized documentation across multiple systems.ResponsibilitiesTrack project progress from job start-up through completion and provide timely updates to all stakeholders involved in the project and invoicing process.Update and maintain project schedules to ensure accurate planning and coordination of field and office activities.Assemble and audit project completion packages, verifying that all required documents are accurate, complete, and properly organized.Prepare invoices and compile billing documentation, then provide these materials to the billing team in a timely and accurate manner.Enter hours from project planners and construction crews into Smartsheet, ensuring data integrity and consistency.Create field project binders for construction crews, including all required project-related forms and documentation.Perform data entry in multiple systems such as Smartsheet, Sage, Microsoft applications, and the company server.File and maintain project documents in both electronic and hard copy formats to ensure easy retrieval and proper retention.Document project information and ensure proper retention of records in the server and physical files.Communicate effectively with customers, project managers, project planners, and superintendents to coordinate project activities and resolve issues.Demonstrate professionalism, tact, courtesy, and discretion when working with clients and internal staff.Work proactively and independently while contributing to team objectives and overall project success.Prioritize and multitask across a wide range of responsibilities requiring accuracy and attention to detail.Essential SkillsStrong project coordination skills with the ability to track progress and manage multiple tasks simultaneously.Excellent organization skills with a high level of accuracy and attention to detail.Ability to be proactive and work independently while supporting team objectives.Effective oral and written communication skills for interacting with customers and internal teams.Demonstrated professionalism in the workplace, including tact, courtesy, and discretion when working with clients and staff.Experience with construction or project management environments.Proficiency in data entry and handling project-related information across various systems.Ability to prioritize tasks and manage time effectively in a fast-paced setting.Additional Skills & QualificationsExperience using Smartsheet for tracking hours and project data.Familiarity with Sage or similar accounting and billing software.Proficiency with Microsoft applications (such as Excel, Word, and Outlook) for documentation and reporting.Comfort working with server-based file systems for document storage and retrieval.Experience with filing and maintaining both electronic and hard copy project records.Experience in construction or field operations coordination is a plus.Strong customer service orientation when communicating with clients and field teams.Why Work Here?Join a team that values professionalism, accuracy, and collaboration, where your ability to stay organized and communicate clearly directly supports successful project outcomes. You will work in an office-based environment closely connected to construction and field operations, regularly using tools such as Smartsheet, Sage, Microsoft applications, and server-based file systems. The setting emphasizes organized documentation, accurate data entry, and frequent communication with field crews and office staff, providing a structured and detail-oriented workday.Job Type & LocationThis is a Contract to Hire position based out of Downey, CA.Pay and BenefitsThe pay range for this position is $25.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
