Express Employment Professionals is recruiting for our Jamestown, NY client.


We are seeking a highly organized, detail-oriented, and proactive Sales Operations Coordinator to support our clients growing sales team. This position is not a management role, but it is essential to the success of the sales organization. The Sales Operations Coordinator will be responsible for maintaining CRM accuracy, coordinating leads and appointments, supporting commercial bid opportunities, reviewing contracts and proposals, and ensuring smooth communication between sales consultants and internal teams.

Key Responsibilities

CRM & Lead Management

• Manage daily CRM activities, including lead entry, tracking, assignment, and follow-up coordination.
• Coordinate with administrative staff to ensure leads are assigned to the appropriate sales consultant based on territory and product line.
• Answer incoming sales inquiries, qualify prospects, and schedule appointments while accounting for consultant travel time.
• Monitor lead activity and sales pipelines to ensure timely follow-up and customer engagement.
• Update opportunities and convert leads into active deals as appointments, proposals, and projects progress.

Sales Coordination & Reporting

• Conduct weekly pipeline reviews with individual Sales Consultants.
• Monitor CRM usage and ensure sales activities are accurately documented.
• Create and assign follow-up tasks to support sales team accountability.
• Identify trends, gaps, and opportunities within the sales process and communicate findings to leadership.
• Prepare sales-related reports and maintain accurate records.

Contracts & Proposal Support

• Review proposals, contracts, and sales documentation for accuracy and completeness before distribution.
• Assist in coordinating commercial project bids and proposal submissions.
• Serve as a central support resource for sales documentation and bid-related communications.

Commercial Bid Management

• Monitor industry bid platforms and builders exchange opportunities for relevant projects.
• Review project specifications and drawings to identify potential bid opportunities.
• Prepare, coordinate, and submit commercial bid packages.
• Track bid outcomes and maintain records of awarded and lost opportunities.
• Document feedback and reasons for unsuccessful bids when available.

Project Closeout Administration

• Coordinate submittal and closeout documentation for commercial and light commercial projects.
• Monitor project completion status and ensure all required paperwork is submitted promptly.
• Prepare customer review requests, warranty information, owner's manuals, and referral program materials for completed projects.
• Maintain organized records of all project documentation.

Qualifications

• 1-4 years of experience in sales support, sales operations, project coordination, administrative support, or a related role.
• Experience working with CRM systems; Salesforce experience is highly preferred.
• Excellent written and verbal communication skills.
• Strong organizational and time-management abilities.
• Ability to manage multiple priorities and deadlines simultaneously.
• Proficient in Microsoft Office Suite and general business software.
• Professional, dependable, and detail-oriented.
• Construction, trades, or specialty contractor industry experience is a plus, but not required.
