Front Office Referral Specialist

Description of Responsibilities:Referralso Contact parent within 24 hours upon receiving referralo Keep detailed case notes with updates from the parent or pertinent information giveno Create relationships with other coordinators from referring physicians' office and provide educationo If necessary, place the child on a waitlist keeping in contact with parent on a weekly basis.o Send new patient intake packet to any family added to the waitlist. Paperwork must be completed before an appt is scheduled.o If services are declined by parent, offer recommendations for facilities or programs based upon concerns or locationo Send referral status letters to referring pediatricians or specialist if unable to schedule for any reason.o Respond to requests for information regarding services that are received through the website.o Obtain all information and documentation needed for all “call in referrals”Scheduling Evaluationso Schedule with urgency based upon diagnosis codes and severity of casesSend all new patient paperwork to point of contact to complete before evaluation dayo Send reminders for any new patient paperwork that has not been completedo Explain patients verified benefits prior to scheduling evaluationso Contact families after initial evaluation to follow up on evals and assist with any concerns or questionso Track all evaluations until they are scheduled and completedo Confirm all evaluations scheduled by phoneQualifications: Requirements for the position of Front Office Referral Specialist are a minimum of 2 years' experience in a medical setting, customer service, and interpersonal skills.
