Patient Registration Coordinator

Description Job Summary: The Patient Registration Coordinator I is the first point of contact for greeting, registering, and scheduling patients in a healthcare setting. This position manages the financial health of the facility by collecting patient responsibility, accurately verifying insurance, and collecting balances. This position requires a warm and compassionate personality who enjoys working with a diverse patient population and is dedicated to patient success. Essential Functions: Obtain and validate insurance coverage and benefit details for new patients, plan updates, and changes in patient ID numbers to ensure compliance with payer requirements. Perform weekly and annual eligibility checks to verify active coverage status, including plan type and primary/secondary insurance designation. Communicate patient financial obligations, including deductibles, co-insurance, copay, and out-of-pocket costs, to help patients understand their financial responsibilities. Process patient payments in systems, maintain financial contracts, and update overdue balances to manage outstanding patient responsibilities. Act as the primary contact to facilitate effective communication with patients and address any issues regarding benefits, authorizations, and patient financial responsibilities. Assist patients with grant applications by helping patients complete grant-related forms, perform coverage checks in Waystar, and enter and manage patient information in grant portals as needed. Schedule patient appointments and arrange transportation for patients with insurance-covered or grant-supported travel needs. Review daily and monthly reports to identify and correct missing or incorrect system information, reducing errors and ensuring claim accuracy. Ensure submission of clean claims and reduction in payer denials by adhering to both organizational and departmental policy and procedures. Perform special projects and other duties as needed. Assist with special projects by utilizing Excel/Google spreadsheets and communicate results. Use, protect and disclose patients' protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards. Other Duties as Assigned.
