Associate Director, Data Integrity & Gift Processing

Associate Director, Data Integrity & Gift Processing Loyola University Chicago’s Advancement division is seeking a collaborative leader committed to the highest quality of data entry, maintenance, and standards. In partnership with the Director of Data Integrity and other members of the Advancement Operations team, the Associate Director of Data Integrity Gifts develops and manages the administration of all University contributions, including the creation and management of policies and procedures regarding the accurate processing, storage, and data related to University contributions in Loyola’s donor database. The Associate Director will also work cross‑functionally, serve as a significant point of contact across the University Advancement Division and multiple University departments, and supervise, mentor, and train two to three Data Integrity Analysts focused on gift processing. This position is hybrid, requiring a regular presence on the Loyola University Water Tower campus. Key Responsibilities Oversee and report on manual entry, import processes, quality control measures, and accurate processing and corrections of gift and advancement‑related event transactions. Develop and execute training and communication plans for complex data and systems to Data Integrity Specialists and other audiences. Apply an in‑depth understanding of the Loyola University Chicago Gift Acceptance Policy, FASB accounting standards, CASE fundraising standards, IRS gift receipt guidelines, and higher education best practices. Collaborate with the Data Integrity team to ensure clean entry of biodemographic and receipting data during gift entry workflows. Maintain gift entry and workflows, ensuring timely processing of pledges, gifts, biodemographic changes, and compliance with IRS guidelines. Assist Gift Processing Analysts with in‑office procedures, including check and credit card processing, deposits, and reconciliation. Conduct research to resolve inaccuracies and ensure transaction integrity, including managing the Gift Corrections queue. Audit gift records and collaborate with Data Integrity to improve data quality and flow through receipt generation workflows. Create and update Designation and Accounting Unit records in the CRM. Coordinate with fiscal partners to address financial situations and communicate with campus partners such as Cash Management and General Accounting. Apply critical thinking to assess complex gift entry scenarios, proactively identify and address data quality concerns, and implement corrective measures. Maintain clear records of gift processing activities and contribute to the development of training documents and procedures. Ensure adherence to gift and data entry procedures and monitor quality metrics. Contribute to continuous improvement of gift entry processes and suggest enhancements. Qualifications Bachelor’s degree and 4–6 years of experience in database/records management, gift processing, accounting, finance, or advancement (advanced degree preferred). Demonstrated leadership in overseeing processes and/or teams ensuring database accuracy and completeness. Scrupulous accuracy and attention to detail in gift processing and bulk entry from multiple sources. Ability to prioritize, work independently, and meet goals and timelines. Strong knowledge of gift processing, receipting, and regulatory requirements, including CASE, IRS charitable gift rules, and FASB standards. Experience with Kindsight Ascent, Salesforce, DemandTools, Kindsight Connect, GiveCampus, and CVent. Excellent written and spoken English communication skills. Experience supervising staff, training others on complex processes, and presenting clear reports. Strong interpersonal, relationship‑building, and teamwork skills. Ability to apply logical thinking to problem‑solving and maintain ethical judgment and discretion with confidential materials. Intermediate to advanced proficiency in Microsoft Office, especially Excel. Compensation Annual salary range: $80,000 – $100,000 per year.
