Job Overview Under the direction of the Assistant Director of Administrative Services, performs all patient related clerical duties necessary to assist the health care team to provide patient care. Acts as a liaison between patients and the clinical team. This includes but is not limited to maintaining physician schedule, typing, scanning, telephone triage, and other clerical functions relating to patient care. Ability to cross cover Telephone assistant, pre‑auth, billing clerk, and check‑out duties. Qualifications Required High School Graduate Proficiency with Microsoft Office (Word, Excel, PowerPoint) Successful completion of all Orientation and Training Programs Preferred College Degree Scheduling experience Healthcare experience Mosaiq experience Scheduling Requirements Shift: 9:00 am – 5:00 pm Monday – Friday Full Time Essential Functions Complete paperwork that needs to be sent out overnight, maintain a log including confirmation receipt. Cover other PAs as needed, meeting expectations and guidelines for QCL/phone/white sheet/scheduling. Daily review, reconcile, and file all white sheets for primary physician practice. Call no shows, cancellations, etc., to reschedule. Gather all important medical information for new consultations (pathology, radiology reports, lab results, referring MD notes). Maintain physician schedule: ensure all patients are scheduled as per physician template. Schedule patient visits when necessary. Reschedule appointments as needed. Obtain/fax/mail patients' medical reports as requested. Obtain proper release form from patient prior to releasing confidential information. Provide cross‑cover coverage for check‑out; efficiently, timely, and completely. Put the phones on service at 5 pm each evening, reinforcing the MD on‑call to service when there is a change. Respond to and forward stat studies to the appropriate staff member, including all medical and appointment information needed to allow efficient scheduling of the study. Return all calls by the end of each day. Round with clinical staff daily to pre‑plan and prepare for next day practice. Scan all incoming documents into the Electronic Medical Record. Schedule radiology studies appropriately. Answer patient concerns, manage Rx, fax, appointment, and, when indicated, pre‑certification. Input appointment into computer accurately, sharing the information with the patient in a timely manner. Serve as a liaison between patient, family, and medical health care team. Facilitate problem solving for patients, clinical staff, and administrative staff. Take the phones off service by 9 am sharp each morning, directing messages to the appropriate staff member.
