Our team of expert providers and specialists at OB/GYN and Infertility in Dover take a thoughtful approach to provide high-quality compassionate care in the areas of Obstetrics, Gynecology, Urogynecology, Infertility and LGBTQ+ care. In the Center for Women’s Health and Wellness located in the state-of-the-art building on the Pease campus in Portsmouth, this dynamic team brings together expert OB/GYN physicians and midwives, along with nurse navigators to help women manage all aspects of their care. We are seeking a full-time (40 hours per week) Clinic/Practice Assistant to join our team at our Dover, NH location, 15 Old Rollinsford Road, Suite 102. This position is scheduled Monday through Friday from 8:30am to 5:00pm. Clinic/Practice Assistants play an integral part in the operations of our community-based physician practices. Dedicated to administrative support, we serve as the gatekeepers of our practices and ensure that teams are delivering the highest quality experience that exceeds our patients’ expectations. We are looking for well-rounded customer service professionals who can multi-task, prioritize, and thrive in a high-volume outpatient setting. Job Summary Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close general supervision. Performs basic clerical work and repetitive routine tasks. Administrative duties related to patient visits including scheduling, check-in, and check-out. Actual job duties may vary by Department. Essential Functions Perform routine administrative and clerical duties relating to a clinical service or physician practice office. Make patient appointments and maintain appointment records. Greet and assist patients. Answer telephones, assist callers with routine inquiries, and schedule appointments. File materials in patient folders, and print appointment schedules. Process patient billing forms and scan documents into patient medical record/LMR. Call for patient medical records and laboratory test results. Open and distribute mail or faxes. Type forms, records, schedules, memos, etc., as directed. May be required to accept co-payments. Handle, screen, and/or take messages related to prior authorizations, referrals, and verify registrations for accuracy. May monitor patients in waiting room and respond to any needs for information. Assist in patient flow processes. Qualifications Education: High School Diploma or Equivalent required. Experience: Healthcare office experience 0‑1 year required. Licenses and credentials: Not applicable. Knowledge, Skills & Abilities: Basic proficiency with all Office Suite. Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing. Ability to use phone system and manage non‑routine phone calls and solve routine issues as appropriate. Communicating effectively in writing and verbally to convey information to a range of audiences. Understanding written sentences and paragraphs in work‑related documents, to correspond and communicate with others clearly. Managing one’s own time and the time of others. Well organized and good time‑management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
