Job Description: Seeking full-time Probate Paralegal.

Van Fossen & Stolz, P.A. is seeking an experienced, highly organized Probate Paralegal to join our team in Melbourne, Florida.

For more than 20 years, our firm has served individuals and families throughout Brevard County in elder law and related legal matters. We are looking for a paralegal who can take ownership of the day-to-day probate workflow, work closely with our attorneys, and provide the level of organization, accuracy, and client service our clients expect.

The ideal candidate will have hands-on probate experience and be comfortable independently managing routine matters with attorney oversight. This position requires exceptional organization, careful deadline management, professional client communication, and the ability to keep multiple probate matters moving efficiently through each stage of the administration process.

Because probate clients are often navigating difficult circumstances following the loss of a loved one, professionalism, patience, and compassion are essential.

Responsibilities:

\n
• Manage and maintain probate matters throughout the administration process using the firm's practice-management system, workflows, and task-management tools.
\n
• Maintain accurate case status information, deadlines, court dates, and required follow-up activities.
\n
• Meet and communicate with clients throughout the probate process.
\n
• Assist with client intake and representation agreements.
\n
• Communicate with attorneys regarding new and active matters and seek attorney guidance when appropriate.
\n
• Draft probate pleadings, correspondence, and other case-related documents.
\n
• Coordinate client meetings to review, revise, execute, and finalize documents.
\n
• Prepare, scan, and electronically file documents with the appropriate courts.
\n
• Calendar court dates, filing deadlines, and other important dates in accordance with applicable probate and court rules.
\n
• Monitor applicable deadlines and provide attorneys with sufficient advance notice of upcoming court dates and other time-sensitive matters.
\n
• Keep clients informed regarding the status and progression of their matters.
\n
• Maintain accurate and organized electronic case files throughout the probate process.
\n
• Track active and closed matters and provide attorneys with regular updates regarding case status and upcoming deadlines.
\n
• Help ensure probate matters move efficiently toward completion and closure.
\n

Required Qualifications:

\n
• Associate and/or bachelor's degree in Paralegal Studies required.
\n
• Strong verbal and written communication skills.
\n
• Excellent organizational and time-management skills.
\n
• Exceptional attention to detail.
\n
• Ability to independently manage routine probate workflows, deadlines, and multiple active matters.
\n
• Professional and compassionate demeanor when working with clients, including older adults and families experiencing the loss of a loved one.
\n
• Comfortable working with legal technology, electronic filing systems, and practice-management software.
\n
• Ability to work effectively both independently and as part of a legal team.
\n
• Professional demeanor and presentation.
\n

Strongly Preferred:

\n
• Hands-on probate experience or significant experience in a closely related practice area.
\n
• Florida Registered Paralegal status and/or NALA certification.
\n
• Current Florida Notary Public commission.
\n
• Previous experience preparing probate documents, electronically filing with Florida courts, managing court deadlines, and communicating directly with clients.
\n
• Experience working in probate, estate administration, elder law, trusts and estates, or a related Florida practice area.
\n

Job Type: Full-time, in-office

Schedule:

\n
• Monday–Thursday: 8:30 a.m.–5:00 p.m.
\n
• Friday: 8:30 a.m.–12:00 p.m.
\n
• No weekends.
\n
• Position is based primarily in our Melbourne office. Occasional travel to our other nearby Brevard County offices may be required.
