Manager of Regional Chapters

The Manager of Regional Chapters plays a crucial role as the liaison between the Authors Guild and its regional chapters. This position oversees the Authors Guild's chapter program and provides a range of strategic thinking, project management, people management, event ideation and planning, and administrative tasks to offer members opportunities for engagement and involvement at the local level and to expand the Authors Guild's chapter program.

Key Responsibilities Oversee Chapter Program – General

• Serve as main point of contact with chapter chairs ("ambassadors") of our 18 chapters and growing.
• Strategize growth of chapter program and co-lead, with Director of Membership, the recruitment, interviews, onboarding of new ambassadors, term renewals, resignations, and sunsetting. 
• Assist chapter ambassadors with setting up virtual events via Zoom. 
• Assist chapter ambassadors with setting up surveys for members and RSVP forms. 
• Assist Director of Membership with developing and executing strategic plans with the goal of fostering membership engagement and involvement at the local level.
• Respond to questions, requests, and concerns regarding chapter-related efforts in a timely and professional manner, including the chapter inbox. 

Communications

• Draft, edit, and proofread correspondences, email blasts, newsletter copy, event reminders, reports, and other documents as needed. 
• Provide consistent guidance and encouragement for chapter ambassadors including event ideation and planning support as needed. 
• Check in with ambassadors as needed, especially if certain chapters or ambassadors have been quiet, or if much time has passed since their last event. 
• Schedule and lead monthly chapter ambassador meetings. 
• Maintain regular communication with the Director of Membership regarding chapter efforts. 
• Brief CEO and COO on regular basis with chapter updates; and coordinate with the advocacy and development staff on their local events, as needed.

Data Entry and Record Keeping

• Maintain accurate and up-to-date records, databases, and contact lists, including but not limited to the chapter events tracker, requests for payment tracker, and ambassador rotation chart. 
• Add chapter events to the Authors Guild website event calendar. 
• Maintain and update ambassador guidelines. 
• Maintain and update reusable copy for chapter matters such as surveys, calls for ambassadors, and RSVPs. 

Financial Support

• Track invoices, W-9s, venue payment requests, stipend payments, and reimbursements, and follow up with chapter ambassadors to ensure timely payments for all chapter events. 
• Monitor chapter budgets to ensure that each stay within their limit. 
• Collaborate with the finance team to ensure accurate record-keeping. 

Reporting

• Write Annual Report on chapter activities.
• Write Bulletin Report on chapter activities 1-2x per year.

Qualifications

• Proven relevant experience in administration, marketing, event planning, communications, or similar field. 
• Proficient in Microsoft Office Suite, Mailchimp (or similar email/marketing platforms), Zoom, and other relevant software. 
• Strong organizational and time-management skills. 
• Excellent communication skills, both written and verbal. 
• Flexibility and adaptability in a fast-paced environment. 
• Strict attention to detail. 
• Experience with volunteer management, people management, or HR is a plus. 
• Knowledge of the writing profession or publishing industry is preferred. 

Work Arrangement and Compensation

• This position is fully remote with the option to use the Authors Guild offices in Manhattan and Washington, D.C. 
• This is an hourly, part-time position with a total compensation of $45,000.
