Mass History Alliance Conference Coordinator

$25 - $30 per hour

Description: Mass History Alliance, a volunteer‑run organization, is looking for an energetic, reliable, independently working, personable, detail‑oriented, flexible, and somewhat IT‑savvy contractor to manage the planning and logistics of the in‑person Massachusetts History Conference and the online MHA Conversations on the Commons during the spring and fall. Responsibilities: Oversee logistics and public relations for the 2026 Mass History Conference, including: Coordinate the organizing committee from October 2025, setting meetings, agendas, and follow‑up assignments. Serve as primary point‑of‑contact for presenters, sponsors, and the venue. Maintain conference webpages, forms, sponsorship listings, and registration systems. Supervise PR/Outreach and Awards subcommittees and publish content via website, social media, and email. Develop detailed conference‑day logistics plans and publish print and web programs. Manage registration, including troubleshooting and processing discount and complimentary registrations. Supervise interns and graduate assistants. Manage evaluation processes, including creating and distributing attendance evaluations, compiling summary reports, and providing follow‑up analysis. Submit bi‑weekly status updates in list form to the conference committee chairs. Coordinate logistics for the Mass History Commons organizing committee and Conversations on the Commons events, such as: Schedule committee meetings and document minutes. Create Zoom meetings and Eventbrite registrations for Conversations on the Commons. Develop and distribute public relations materials via website, social media, email, and listserv. Collect data on event participants and troubleshoot Zoom operations. Create, manage, and revise Commons workflows and documentation in Google Drive, Eventbrite, MailChimp, and the Commons website. Maintain a flexible schedule with a maximum of 390 billed hours without prior approval, focusing on February‑June for the primary conference and about 10 hours per month during key periods. Qualifications: Experience coordinating events, preferably conferences. Strong organizational and communication skills. Comfort with technology and tools such as Google Workspace, Eventbrite, MailChimp, and Zoom. Ability to work independently and manage a project with minimal supervision. Attention to detail and flexibility to adapt to changing needs. Compensation: $25–$30 per hour, based on experience. Estimated total earnings up to $600 per month.
