We are looking for a detail-oriented Payroll Supervisor to join our team in a high paced environment reporting to the Director of Accounting Operations. This onsite role will provide essential payroll supervision and coordination of the payroll team and payroll processing operations for multiple entities and locations in a timely and efficient manner. This individual will support and oversee some of the activities necessary to process payroll, including maintaining related records, addressing and resolving questions and issues, reports, reconciliations and ad hoc requests as necessary. This role requires an understanding of payroll systems, compliance regulations, and internal controls. The ideal candidate is detail-oriented, analytical, and experienced in managing complex payroll functions in a fast-paced environment.

Required Duties and Responsibilities:

• Supervise, mentor, train, manage workload distribution, establish priorities, evaluate and oversee payroll team across multiple entities and locations on process, procedures, meeting deadlines, tax compliance and internal controls
• Lead, prepare, review and approve processing of payroll runs across multiple U.S. states and entities, ensuring accuracy of hours, earnings, direct deposits, tax withholdings and compliance with internal policies and wage rules
• Ensure compliance across U.S. states, including staying current on Federal, State, and Local payroll laws.
• Supervise and approve reconciliation of payroll data and benefits across systems, ledgers and vendors
• Oversee and manage the organization of payroll documentation, tax records and employee information to support accurate record keeping, payroll processing and tax compliance.
• Oversee and review team's responses to internal and external payroll questions, address discrepancies, and provide timely support to employees regarding pay-related matters, questions, errors and escalate to Director as necessary.
• Prepare, oversee and approve payroll general ledger reconciliations, internal reviews, audits (internal and external) and reporting activities.
• Create documentation of Standard Operating Payroll process
• Promote accountability, continuous process improvement for payroll efficiency, compliance and customer service
• Ad hoc requests as necessary.

Required Skills/Qualifications:

• Extensive knowledge of payroll processing, including payroll taxes, reconciliations, and internal controls
• Strong analytical, detail oriented, accuracy, problem-solving, and organizational skills
• Ability to manage multiple priorities and meet strict deadlines
• Strong communication and interpersonal skills
• Demonstrated ability to maintain confidentiality and handle sensitive information
• Familiarity with payroll/HRIS platforms and Microsoft Excel.
• Ability to work independently while flagging issues proactively.

Preferred Skills/Qualifications:

• 3+ years of in a Payroll Supervisor Role, preferably in a high-volume environment.
• Experience processing multi-state payroll and handling complex payroll scenarios preferred.

Working Conditions:

• The diversity of work conditions may range from an environment where there is little or no physical discomfort, such as a general office environment, to warehouse and other facilities.
• Physical Demands: Must have the ability to stoop, stand, climb, occasionally lift a minimum of 25 lbs. Involves movement between departments, floors, and worksites to facilitate work.

Export Control / ITAR Requirement: This position requires access to information and technology subject to U.S. export control laws and regulations, including the International Traffic in Arms.

Work Authorization Requirement: Candidates must be legally authorized to work in the United States on a full-time basis without the need for current or future employment visa sponsorship.

Salary: $90,000 to $115,000 annually Pay depends on relevant work experience, education, training, essential skills, and/or other factors such as specialized or high-demand professions. In addition to the annual salary, the position will be eligible for an annual bonus. The pay range for this job level is a general guideline only and not a guarantee of salary or annual bonus.
