Position Overview
Erickson Laboratories is a small, specialized medical practice seeking an experienced, personable, compassionate, and highly organized Office / Insurance Coordinator & Receptionist to join our team.
This role is ideal for someone who thrives in a patient-focused healthcare environment, communicates effectively, and takes initiative without requiring constant supervision. As the first point of contact for our patients—many of whom have low vision or blindness—you will play a vital role in providing exceptional service and supporting our clinical team.

Key Responsibilities
Insurance & Administrative Coordination
Request prior authorizations and prescriptions for upcoming services and appointments
Maintain patient demographics and prosthetic eye information within the electronic practice management system
Send and receive medical records, correspondence, and documentation via phone, email, mail, and fax
Prepare patient receipts, letters, and basic reports using standard office software
Monitor office supplies and notify management when reordering is needed
Scheduling & Reception
Schedule, confirm, and manage patient appointments
Maintain cancellation and waitlists while filling schedule openings promptly
Answer incoming calls and route messages appropriately
Welcome patients and visitors in a professional and friendly manner
Check patients in and coordinate communication with providers regarding patient readiness
Patient Assistance
Escort patients safely between the waiting room, examination rooms, restroom, and building lobby
Assist patients with low vision or blindness as needed
Provide wheelchair assistance when necessary
Prepare and sanitize examination rooms after each patient visit
Additional Duties
Travel to the Tacoma satellite office once per month
Support daily office operations and assist with additional administrative tasks as needed
Qualifications
Previous experience in a medical office, healthcare administration, insurance coordination, reception, or related role preferred
Strong multitasking abilities in a busy healthcare environment
Exceptional attention to detail and organizational skills
Self-motivated with the ability to work independently
Excellent verbal and written communication skills
Professional, compassionate, and patient-focused demeanor
Strong problem-solving abilities
Ability to work collaboratively in a small team environment
Proficiency with Microsoft Word, Excel, and general computer applications
Ability to learn new software and systems quickly
