Legal Assistant Office Manager

Legal Secretary & Junior Office Administrator Plona Partners has been retained by a highly respected, nationally recognized law firm to identify an experienced Legal Secretary & Junior Office Administrator for its Palm Beach Gardens office. This is an outstanding opportunity to join a sophisticated private client practice where you'll support accomplished attorneys while playing a key role in the day-to-day operations of a collaborative office. The ideal candidate enjoys balancing legal administrative responsibilities with office management, thrives in a client-focused environment, and takes pride in delivering exceptional service. What You'll Do Legal Administrative Support Provide dedicated support to two attorneys within a sophisticated Trusts & Estates practice. Coordinate client communications, appointments, and meeting logistics. Prepare and revise estate planning documents, including: Powers of Attorney Revocations of Powers of Attorney Advance Directives HIPAA Authorizations Designations of Guardian Assemble and prepare post-execution client estate planning binders. Accurately enter attorney billable time on a daily basis. Assist with special administrative and legal projects as needed. Office Administration Help oversee the daily operations of a professional law office. Coordinate office vendors, equipment maintenance, utilities, furniture, and facility-related needs. Serve as a resource for office procedures, policies, and administrative efficiencies. Support the implementation of best practices while maintaining the highest standards of professionalism and client confidentiality. Assist with planning client seminars, professional networking events, attorney receptions, and office celebrations. What We're Looking For Previous experience as a Legal Secretary, Legal Administrative Assistant, or Office Administrator within a law firm. Trusts & Estates experience is strongly preferred. Office management or office operations experience is highly desirable. Business Administration degree preferred. Excellent organizational and time management skills. Strong written and verbal communication abilities. Ability to manage multiple priorities in a fast-paced professional environment. High level of discretion with confidential client information. Self-starter with exceptional attention to detail. Professional, polished, and service-oriented demeanor. Preferred Technology Experience Microsoft Office Suite Outlook Adobe Acrobat Aderant Time Expert Ability to quickly learn proprietary legal software Why This Opportunity?
