Job Description:
Under general supervision from the department operations administrator the department Chair and/or course directors this person will assist in the management of multiple courses and programs within the department. This person will also perform additional administrative duties as needed to support daily departmental operation and activities. He/she will complete duties and responsibilities as described below to provide high quality cost effective assistance in department administrative functions.
Minimum Qualifications:
Qualifications/Knowledge Skills & Abilities
Education/experience/licensing:Associates Degree or higher with courses in education business administration administrative assistance public relations or other related field. Five years of office experience may be accepted in lieu of degree. Office experience in an educational setting preferred.
Communication and other skills:
Ability to analyze create and implement policies to accomplish the goals of the department and university
Ability to organize prioritize and efficiently coordinate various responsibilities and job duties
Ability to work independently be self-motivated and be proactive to avoid negative consequences
Ability to respond to rapidly changing business environment
Excellent Microsoft Office skills (Word Excel PowerPoint Outlook). Experience in Blackboard 9.1 and Respondus will be helpful
Ability to multitask (e.g. preparing exams handouts and luncheon meetings simultaneously)
Ability to maintain high degree of confidentiality
Excellent written verbal and culturally appropriate communication skills
Appreciation for scientific research and an understanding of basic science helpful
Exhibits integrity and flexibility with appreciation for punctuality regular attendance and dependability.

1 Assists course directors and programs directors in management of all education matters for medical graduate students and undergraduate students within the department. Duties include but are not limited to: evaluate and analyze testing materials to ensure they comply with USMLE guidelines and give recommendations to course directors as necessary; evaluate recommend create and enforce policies to accomplish goals of both the course and the university (i.e.: weekly quizzes; weekly practice sessions; module exams and reviews; etc ); supervise teaching associate for wet labs; evaluate student grades attendance and evaluations and make recommendations to course director accordingly; analyze data and prepare statistical reports for directors; analyze and maintain course statistics for LCME and HLC accreditations; assumes responsibility and authority when course director is not available (i.e. give direction to testing center personnel instruct graduate students in a teaching lab when assigned faculty are absent give guidance to faculty when preparing course materials etc); monitor records and counsel students preparing for degree completion; assist in development of course syllabus; and manage highly confidential materials in a professional and secure manner 70
2 Relieves department administrator of routine and non-routine administrative duties as needed. Non-routine duties may include but are not limited to: management of human resources and international employee matters; and analysis and preparation of departmental reports for UTF reimbursements or reports used in the departmental annual report for the university LCME accreditation and HLC accreditation. 5
3 Routine educational duties include but are not limited to: management of course and departmental web pages; proctoring weekly quizzes and review sessions as needed; preparing practice sessions quizzes and exams; proof reading documents; preparing student handouts; management of multiple calendars; ordering supplies; creating seating charts and rosters and course schedules; assist with communications to students and faculty; and help organize student events as needed 10
4 Assists in management of seminar series and other educational events (summer camps campus visits). Duties include but are not limited to: communicating with speakers; making travel and hotel arrangements; reconciling budgets; managing account payables and receivables; preparing and distributing itineraries and fliers; planning luncheons; and making dinner reservations 5
5 Maintain liaison with representatives of other departments to establish and maintain appropriate interface 2
6 Assists labs and offices by: maintaining equipment service contracts; account payables and receivables; key requests; radiation badge distribution; and submitting facilities biomedical IT and environmental service requests 3
7 Assists faculty with calendar appointments phone calls travel arrangements travel reimbursements and other secretarial duties as necessary 5
