About the Team: The Talent team hires the people who build NEO: robotics, AI, manufacturing, and the teams that support them. Recruiting Coordination is the operating layer of that work. Every interview, every candidate touchpoint, and every record in Ashby runs through this team, so when coordination is excellent, 1X hires faster and candidates leave every conversation wanting to work here. Your Charter: The mission of this role is to give a seamless experience during every interview, and to make the coordination function faster every quarter. You are one of two Lead Recruiting Coordinators. Each of you owns half of the hiring org end to end, from scheduling and candidate communication to data integrity in Ashby. You lead by setting the standard for quality and speed, and by being the person the team turns to when something breaks. Hiring speed is on 1X’s critical path, and this role is where that speed is won or lost day to day. Key Outcomes: Own end-to-end interview scheduling for executive and high-volume roles in your half of the org, delivered without errors, with last-minute conflicts resolved quickly and calmly. Deliver consistently high satisfaction scores from candidates and hiring managers through transparent, timely communication with every interview participant. Drive down time-to-schedule and time-to-feedback by identifying bottlenecks in the hiring workflow and implementing automation for scheduling and feedback collection. Optimize and iterate the coordination team’s playbooks and training guides so every coordinator runs the same process and new hires ramp fast. Lead as the escalation point for daily operational issues in your half of the org, setting the bar for quality and speed across the coordination team, and keep Ashby complete and current as the single source of truth for every open role. Key Competencies: Handles confidential candidates, compensation, and offer information with total accuracy and discretion. Stays calm and decisive when a schedule breaks an hour before the interview, and fixes it without creating noise for the candidate or the panel. Thinks in systems: sees a repeated problem and fixes the process, not only the instance. Communicates clearly and proactively with executives, hiring managers, and candidates, in writing and live. Sets a high standard and holds peers to it without direct authority. Minimum Requirements: 7+ years of recruiting coordination experience, including scheduling for executive or high-volume roles Demonstrated ability to manage complex, multi-participant interview schedules without errors Experience with an applicant tracking system as the system of record for hiring Proven track record of being the escalation point for a coordination or operations team Preferred Skills: Experience in Ashby Experience in implementing scheduling automation or workflow tooling, such as ATS integrations or no-code automations Exposure to writing team playbooks, standard operating procedures, or training documentation Familiarity with hiring for hardware, robotics, or AI teams What does a successful 1X Team Member look like: Team members at 1X who thrive here are builders.
