We’re looking for an experienced Talent Acquisition Coordinator who can bring order to busy calendars, keep complex interview schedules moving, and make candidates feel supported from their first invitation to their final conversation.

Your mission

You’ll partner with a busy recruiting team to coordinate interviews across teams, locations, and time zones. Interview scheduling is the heart of this role , so you should enjoy the details, the moving pieces, and the satisfaction of making a complicated schedule click into place.

What you’ll do

• Make complex scheduling look effortless. Coordinate virtual and onsite interviews, balancing candidate availability, interviewer calendars, and multiple time zones.
• Create a welcoming candidate experience. Share clear instructions, provide timely updates, and help candidates feel prepared and informed.
• Keep onsite interviews running smoothly. Coordinate interview logistics, office visits, candidate travel, and in-person support as needed.
• Keep Greenhouse organized and accurate. Maintain interview schedules, candidate records, and recruiting activity so the team has information it can trust.
• Be a dependable recruiting partner. Work closely with recruiters, hiring managers, and interview teams at all levels of the business.
• Handle changes with confidence. Resolve scheduling conflicts and last-minute adjustments with professionalism and a calm, solutions-focused approach.
• Support recruiting administration, candidate expense reimbursements, and offer or onboarding coordination as needed.

What you’ll bring

• 3+ years of Talent Acquisition Coordinator or Recruiting Coordinator experience, with recent, substantial responsibility for interview scheduling.
• Recent, sustained hands-on Greenhouse ATS experience. You’ve used it regularly to coordinate interviews and manage candidate activity.
• Recent onsite interview coordination experience as a core part of your role, including managing the details that make in-person interviews successful.
• Experience coordinating complex interview panels, busy calendars, and competing priorities.
• Excellent written and verbal communication, with the confidence to work with candidates and colleagues at every level.
• Strong attention to detail, sound judgment, and the ability to work independently while staying connected to your team.
• Comfort with Outlook, Microsoft Office, Zoom, Slack, and similar scheduling and collaboration tools.
• Discretion when handling confidential candidate and employee information.

Especially valuable: Experience supporting global recruiting teams and scheduling interviews across international time zones.

Location: Bellevue, WA / Greater Seattle area

Work arrangement: Primarily remote, with occasional office visits to Bellevue approximately twice a month

Contract Role – 6 -month contract with possibility for extension up to 2 years

Hourly Rate - $30-$39 an hour
