Materials Coordinator

The Materials Coordinator is responsible for the timely ordering, receiving, distribution, inventory control, and management of supplies, products, and equipment used throughout Northern Wyoming Surgical Center. The Materials Coordinator maintains appropriate inventory levels within established purchasing and budget parameters and supports accurate supply and implant information for clinical operations and billing. The Materials Coordinator reports directly to the Clinical Administrator and collaborates closely with the clinical staff, the business office, physicians, and vendors to ensure required supplies and equipment are available to support safe, efficient patient care.

High School diploma or equivalent desired.

Knowledge of medical supplies, inventory control, receiving, shipping and stocking preferred.

Must possess a high degree of confidentiality in all matters with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Must have good interpersonal skills with the ability to communicate with staff and public in a friendly, courteous and helpful manner. Ability to work independently and collaboratively with Administration, Nursing Leadership, clinical staff, physicians, vendors, Materiels Management, and business office personnel. Strong organizational, problem-solving, time-management, and multitasking skills. Ability to maintain organized, safe, and efficient supply and storage areas. Ability to maintain accurate inventory records, anticipate supply needs, and respond effectively to shortages or surgical schedule changes. Understanding of medical terminology and surgical supplies, products, implants, and equipment preferred. Effective computer and keyboarding skills. Must have ability to learn and use Microsoft Office Suite products including Word, Excel and Outlook. Proficient with inventory management systems. Ability to learn new computer software applications. Basic office machine skills preferred. Demonstrates accuracy, attention to detail, dependability, and ability to meet deadlines.

Maintain appropriate inventory and par levels and coordinate required physical inventory processes. Monitor inventory levels and place approved orders for routine stock, special-order supplies, implants, equipment, and other products in accordance with established purchasing processes and budget requirements. Receive, verify, document, distribute, and appropriately store incoming supplies, products, and equipment. Review purchase orders, packing documentation, invoices, pricing, and contract terms for accuracy and promptly identify discrepancies. Maintain accurate inventory-system information, including receipts, issues, pricing changes, product information, and other required data. Monitor back orders, shipping delays, substitutions, and product availability and communicate concerns to the Clinical Administrator and affected staff. Work with vendors to obtain product and pricing information, resolve supply issues, and monitor vendor performance. Collaborate with the Clinical Administrator and clinical staff regarding supply needs, implants, equipment, new products, and changes affecting patient care. Ensure supplies are appropriately rotated, expiration dates are monitored, and outdated, damaged, or recalled products are removed from use in accordance with policy. Maintain clean, organized, secure, and appropriately stocked supply and storage areas. Ensure new medical equipment is appropriately inspected or cleared prior to clinical use and assist with tracking equipment requiring repair, maintenance, or replacement. Assist the Clinical Administrator with supply-cost monitoring, purchasing initiatives, capital planning, and identification of cost-saving opportunities. Support accurate preference-card, inventory, and billing information by ensuring products are appropriately entered and maintained in applicable systems. Maintain appropriate records related to purchasing, inventory, equipment, vendors, and other assigned materials-management activities.

Follow applicable infection-prevention, safety, hazardous-material, sharps, waste-handling, and personal protective equipment requirements. Participate in Continuous Quality Improvement (CQI), safety, staff education, meetings, and other Center activities as assigned. Promote professional communication, teamwork, accountability, and responsible stewardship of Center resources. Perform other duties related to materials management and Center operations as assigned by the Clinical Administrator.
