Job Description Overview The Alabama Cooperative Extension System (ACES/AAES) is excited to announce the recruitment for an Administrative Support AssociateI/II in Crenshaw County . This role provides essentialservices, advice, and assistance with administrative, financial,and clerical tasks, as well as other support for programs withinthe Crenshaw County Extension Office. EXTENSION
The Alabama Cooperative Extension System is the outreachorganization for the land grant mission of Alabama A&MUniversity and Auburn University. Its educational programs growfrom these two land grant university campuses to serve the peopleof Alabama. Science-based educational programs are delivered thatenable people to improve their quality of life and economicwell-being. Information and programs are available online or inperson through all 67 County Extension Offices and at teachingsites throughout Alabama communities. For more information, pleasesee Responsibilities Performs multiple duties which are a mix of administrative andclerical in nature, which may include but are not limited to datagathering, data management, correspondence, filing, calendarmanagement, event scheduling, mail distribution, answering phones,organizing mail, purchasing/ordering supplies, and websitemaintenance. Provides budget preparation, tracking, monitoring and auditing,payroll processing, travel/expense voucher processing and otheraccounting and financial tasks. Advises staff, students, administrators, and clients ofstandard policies or procedures. Acts as a point of contact to other departments, students,faculty, customers, and outside agencies/vendors on behalf ofmanager, director, or department head. Manipulates and prepares data and other information, databases,or reports using a computer. May be asked to design flyers, compile newsletters, or othermarketing materials to promote Extension programming. May perform some administrative duties such as budgetcoordination, human resources administration (beyond payrollentry), collection and disbursement of cash, checks, and othernegotiable items, preparation of reports, documents, andpresentations, or coordination of complex projects or events. Qualifications Level I: High school diploma or equivalent. 2 years experience in clerical and administrative supportservices. Level II: High school diploma or equivalent. 4 years experience in clerical and administrative supportservice. Experience must include at least 2 years at the precedinglevel or equivalent. Substitutions allowed for Experience: Degrees may be accepted in lieu of experience. Desired Qualiications Proficiency with computers and software programs includingWindows, Microsoft Office, Word, Excel, PowerPoint, Access andother similar programs is essential. Experience and knowledge of Quicken, ADOBE and publisher software; experience updating websites and the utilization ofsocial media in the workplace and skilled with multi-tasking arehighly desirable.
