About Ryze Agency

Ryze is a boutique, AI-forward marketing agency serving 20+ health, wellness, and consumer brands. We handle paid media, email, web, social, and creative for every one of them. We've grown fast, and we're looking for a senior leader who makes the production machine run smoothly without needing to be chased.

The Role

Reporting to our Chief of Staff, you'll lead our Project Management team and own how work comes in, gets done, and gets delivered across every brand. Today, requests arrive through too many channels, due dates are sometimes set without the client calendar in mind, and briefs aren't always finished before design begins. You'll fix that. You'll also help roll out our new in-house project management platform, which is being built around how our team actually works.

What You'll Do

Own intake

• Make "no brief, no work" the standard, kindly and consistently
• Turn requests from calls, chats, and client emails into structured tasks the same day
• Ensure every brief is complete and approved before it reaches a designer

Own the calendar

• Track every upcoming client meeting (strategy, creative review, and performance calls) and plan work backward from them
• Set internal and client due dates on every task, with a buffer between them
• Know two days ahead what each meeting will present, and flag gaps early

Keep designers unblocked

• Give each in-house, remote designer a clear weekly plan: what's due, what's next, and what's waiting on whom
• Communicate priority and date changes directly
• Clear items stuck in internal review before they go overdue

Own delivery end to end

• Manage approvals, client delivery, and content calendar updates, closing the loop on every asset

Run the recurring engine

• Manage weekly ad creative drops across all paid media brands
• Coordinate promotions across email, paid, and web with clear owners and dates
• Lead monthly retrospectives on what slipped, why, and what changes

Lead the PM team

• Coach Project Managers on intake, scheduling, and follow-through
• Balance workload across brands so no one is overloaded
• Serve as the first escalation point before issues reach leadership

Help build the system

• Pilot our new project management platform, surface friction, and help translate our SOPs into how the tool works

What Success Looks Like in Your First 90 Days

• Every active task has a brief, an owner, and both due dates
• No client-meeting deliverable is finished on the day of the meeting
• Overdue tasks trend down week over week
• Client-approved assets reach the content calendar within one hour
• Designers know what their week looks like on Monday morning

What You Bring

• 5+ years managing creative or marketing production at an agency or in-house team, across multiple clients or brands at once
• 2+ years leading Project Managers or coordinators
• A systems mindset: you'd rather fix a process once than chase the same problem every week
• The confidence to be firm with senior stakeholders and warm with everyone
• Clear, thorough writing; your task descriptions leave a remote designer nothing to guess
• Daily use of AI tools (Claude, ChatGPT) for drafting briefs, summarizing meetings, and streamlining admin
• Working knowledge of paid social and search (Meta, Google, Performance Max), email marketing (Klaviyo), and e-commerce (Shopify), enough to spot a brief that's missing something

Nice to Have

• Experience migrating a team from one project management tool to another
• Health, wellness, or supplement brand experience, including compliance-aware copy and claims
• Spanish fluency (part of our team works in Spanish)
• Experience with EOS (Entrepreneurial Operating System) or a similar operating rhythm
