Search Solution Group is seeking a Payroll Specialist on behalf of our client, a leading U.S. distributor of maintenance, repair, and operations (MRO) parts, supplies, and equipment. This position is responsible for supporting the accurate and timely processing of multi-state bi-weekly payroll while ensuring compliance with federal, state, and local payroll regulations. The Payroll Specialist will work closely with the Payroll Manager and Human Resources team to administer payroll, benefits, employee records, and compliance initiatives while maintaining the highest level of confidentiality and accuracy.
Key Responsibilities:
- Process and support a multi-state bi-weekly payroll using ADP Workforce Now.
- Manage payroll functions including time and attendance, timecard reviews, bonuses, commissions, incentives, deductions, and payroll reconciliations.
- Perform payroll data entry for new hires, employee transfers, compensation changes, direct deposits, garnishments, retroactive pay adjustments, and other payroll updates.
- Maintain employee records within ADP Workforce Now, including HRIS and payroll system updates.
- Generate and analyze standard, custom, and payroll calculation reports.
- Administer employee benefits, including enrollments, terminations, life events, dependent verification, and eligibility audits.
- Maintain personnel files, benefit records, PTO accruals, and conduct annual PTO audits.
- Ensure compliance with federal, state, and local payroll tax regulations, including new state tax setup and withholding requirements.
- Process wage garnishments, tax levies, and third-party sick pay entries.
- Assist with HR compliance audits, including I-9 audits, 401(k) audits, and internal payroll audits.
- Support year-end payroll activities, including W-2 preparation and distribution.
- Prepare monthly HR reports such as employee birthdays, anniversaries, and audit support documentation.
- Assist with HR projects, company events, and general administrative responsibilities.
- Provide administrative support to HR leadership as needed.
- Perform additional payroll and HR duties as assigned.
- High school diploma or equivalent required.
- Associate's or Bachelor's degree in Human Resources, Accounting, Business Administration, or a related field preferred.
- Minimum of 3 years of payroll administration experience using ADP payroll systems.
- At least 2 years of general Human Resources support experience.
- Experience processing multi-state payroll.
- Experience administering employee benefits and maintaining HRIS records.
- Proficiency with ADP Workforce Now.
- Strong Microsoft Office skills, particularly Excel.
- Excellent organizational and time management skills.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal and customer service skills.
- Bilingual in Spanish is required.
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) is a plus.
- Multi-state payroll processing and payroll tax regulations.
- Federal, state, and local employment and payroll laws.
- HRIS systems and payroll reporting.
- Benefits administration and employee record management.
- Wage garnishments, payroll deductions, and compliance audits.
- Payroll reconciliation and year-end payroll processing.
- High level of confidentiality and integrity.
- Exceptional attention to detail and accuracy.
- Strong organizational and multitasking abilities.
- Analytical thinking and problem-solving skills.
- Ability to work independently and collaboratively.
