Mailroom & Office Services Specialist

This position supports daily mailroom, shipping, receiving, document processing, and office services operations. Responsibilities include receiving, sorting, distributing, and shipping mail, packages, products, and supplies; operating copiers, scanners, printers, and other office equipment; supporting conference room setups; maintaining supply areas; and providing customer service. The role requires frequent walking, standing, bending, reaching, lifting, and moving materials or equipment.

Responsibilities

• Receive, sort, process, distribute, and deliver incoming mail, packages, FedEx, client, and Amazon shipments.
• Process outgoing shipments and apply necessary postage.
• Deliver packages to SMART lockers and designated customer locations within and outside the site.
• Perform shipping and receiving duties for materials, products, and supplies.
• Run high-volume copy machines, scanners, printers, fax machines, postage meters, and related office equipment.
• Perform printing, copying, scanning, laminating, binding, finishing, and other document processing tasks.
• Operate image handling software, MS Office, Email, Outlook, Microsoft Teams, calculators, and related systems.
• Perform binding and finishing work using paper cutters, hole drills, bindery equipment, joggers, tape machines, stackers, electric staplers, shrink-wrap machines, and scales.
• Ensure convenience copiers and office equipment are working properly; perform daily quality inspections, clear paper jams, and report equipment problems to technicians.
• Respond to and coordinate customer service calls and requests.
• Answer customer questions regarding job status and feasibility.
• Maintain daily meter, service, inventory, billing, and management records.
• Monitor and replenish office and supply rooms.
• Distribute office supplies, fax transmissions, mail, and completed jobs to designated personnel or locations.
• Maintain clean, neat, and well-stocked copier, conference, scrum, and supply areas.
• Assist with conference room setups in support of business teams.
• Provide backup reception support when needed.
• Perform filing, document purging, and archiving duties.
• Calculate charges for completed jobs and maintain billing logs as required.
• Operate mail processing equipment and perform associated mail/fax handling duties.
• Coordinate service calls and respond to customer requests.
• May travel between customer buildings.
• May operate or move equipment on wheels for repairs or service.
• Use carts, dollies, and other available equipment when handling shipments or materials.
• Perform other duties as assigned.

Requirements

• High school diploma, GED, or equivalent work experience.
• At least 5 years of experience in mailroom and shipping operations, conference room setup, and customer-facing roles preferred.
• Some related copy job experience preferred.
• Basic computer skills with proficiency in MS Office Suite, Outlook, Microsoft Teams, and Email.
• Technical aptitude with printers, copiers, scanners, postage machines, fax machines, and other office equipment.
• Ability to operate image handling software and basic printing equipment.
• Strong customer service, verbal and written communication, organization, and attention-to-detail skills.
• Ability to adapt to a fast-paced environment and handle changing priorities.
• Ability to interpret, comprehend, and apply complex material, data, and instructions.
• Ability to prepare, provide, and communicate diversified information.
• Ability to stand, walk, bend, reach, stretch, climb, and perform other physical activities for extended periods.
• Ability to lift or move items weighing up to 5055 lbs.; occasional shipments may exceed 50 lbs. with assistance and equipment available.
• Ability to push or pull wheeled machines weighing up to 700 lbs. when necessary for repairs or movement.
• Valid driver's license and minimum required auto insurance may be required.
• Office environment with normal lighting, ventilation, temperature, and noise levels.
• Black shirt, black pants (not jeans), and black sneakers/shoes required.
• No vaccine requirement.
• Background check will be conducted through the designated client process.
