Bilingual Project Coordinator

Key Responsibilities

• Coordinate supplier and vendor onboarding activities, including collecting, reviewing, and maintaining required documentation.
• Organize and maintain project files, purchase orders (POs), and supporting documentation.
• Ensure compliance-related records, including licenses, insurance certificates, and vendor documentation, are complete and current.
• Support procurement operations by gathering data and assisting with item creation and maintenance within inventory and ERP systems.
• Assist Accounts Payable (AP), Accounts Receivable (AR), and Commercial teams with project-related invoice processing, tracking, and data entry.
• Monitor and maintain accurate project records and documentation.
• Coordinate communication with internal departments and external vendors to support project requirements.
• Provide administrative support for ongoing projects and special initiatives as assigned.
• Identify and escalate documentation gaps or compliance issues when necessary.
• Support continuous improvement of project administration and document management processes.

Required Qualifications

• High school diploma or equivalent
• Bilingual proficiency in English and Mandarin (written and verbal)
• Strong organizational and document management skills
• Proficiency in Microsoft Office Suite, particularly Excel
• Exceptional attention to detail and accuracy
• Strong time management and multitasking skills
• Ability to manage multiple priorities and meet deadlines

Preferred Qualifications

• Bachelor's degree in Business Administration, Supply Chain Management, Project Management, Operations Management or a related field
• Experience in project coordination, procurement support, document control, inventory management, or a related administrative role
• Experience with vendor onboarding, procurement processes, invoice administration, or compliance documentation
• Familiarity with ERP, inventory management, or procurement systems
