TLA is currently seeking a passionate, organized, proactive, enthusiastic, and highly personable Legal Receptionist / Client Experience Coordinator to join our growing and winning team. We specialize in personal injury litigation, aggressively advocating for those injured throughout Arizona.

At Trial Lawyers of Arizona, we believe that every client interaction matters. The first impression of our firm often begins with our receptionist. Position Overview

As TLA's Legal Receptionist / Client Experience Coordinator, you will serve as the face and voice of our firm. You will play a critical role in ensuring every client feels welcomed, valued, and cared for from their very first interaction.

You will work closely with attorneys, paralegals, case managers, and clients while helping ensure the office operates efficiently and professionally every day.

Pay & Compensation

Salary is based on experience, with a starting range of $40,000–$50,000 annually .

Responsibilities

Client Experience

  • Welcome clients and visitors with professionalism and warmth.
  • Answer and direct incoming phone calls promptly and professionally.
  • Ensure every client interaction reflects TLA's commitment to exceptional service.
  • Assist with scheduling appointments and consultations.
  • Keep clients informed regarding appointment logistics and general case communication when appropriate.

Office Administration

  • Maintain an organized and professional reception area.
  • Receive, process, and distribute incoming mail and deliveries.
  • Prepare outgoing mail and packages.
  • Order and maintain office supplies.
  • Assist with conference room preparation and meeting coordination.
  • Help keep office operations running efficiently.

Attorney & Staff Support

  • Assist attorneys and legal staff with administrative projects.
  • Prepare correspondence and basic legal documents as requested.
  • Scan, upload, organize, and maintain electronic files.
  • Manage calendars and scheduling.
  • Assist with document preparation and file organization.
  • Support intake and onboarding of new clients.

Intake Support

  • Answer inquiries from prospective clients.
  • Gather preliminary information for new client consultations.
  • Ensure prospective clients receive a positive first impression of the firm.
  • Coordinate consultations with attorneys.

Team Support

  • Jump in wherever needed to help the team succeed.
  • Maintain confidentiality of client information.
  • Demonstrate professionalism in every interaction.

 

Qualifications

Education

Bachelor's degree preferred but not required.

Experience

  • Minimum of 2 years of receptionist, administrative assistant, legal receptionist, or customer service experience.
  • Law firm experience is preferred but not required.
  • Personal injury experience is a plus.

Skills

  • Outstanding customer service skills.
  • Excellent verbal and written communication.
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Excellent attention to detail.
  • Ability to prioritize tasks in a fast-paced environment.
  • Comfortable using Microsoft Office and cloud-based software.
  • Experience with Filevine or similar case management software is a plus.
  • Bilingual (English/Spanish) is strongly preferred.
