SUMMARY: The Advancement Services Coordinator provides operational support for all advancement activities by ensuring timely and accurate gift processing, maintaining constituent records, preparing reports, coordinating stewardship communications, and supporting fundraising initiatives. This position serves as the primary coordinator for gift administration and database maintenance while assisting with donor services and advancement events.

Essential Functions

• Process and record all gifts, prepare gift receipts and coordinate acknowledgments
• Record and update records in donor database with high accuracy and attention to detail
• Audit and update database records regularly
• Prepare daily and weekly reports
• Maintain contact and mailing lists
• Coordinate donor recognition correspondence, acknowledgement letters and maintain records of recognition
• Support events including scholarship dinner, donor recognition events, giving day, homecoming, booster and campaign events.
• Manage electronic files
• Assist with audit preparation

Facilities Coordinator Responsibilities:

• Gift processing.
• Database management.
• Routine reporting.
• Clerical support.
• Event support.

Facilities Coordinator Requirements:

• High school diploma and at least 5 years administrative experience
• Database management experience
• Strong organizational skills.
• Strong computer skills including the use of Outlook, Word, Excel and others

Experience Preferred (but not required):

• Working knowledge of Raiser’s Edge software
• Marketing experience
• Event coordination experience

Required skills and abilities

Language Skills:

• Ability to read and comprehend instructions and correspondence
• Ability to write simple correspondence
• Effectively present information in one-on-one and small group situations

Technology Skills:

• Accomplished skills in typing, word processing, spreadsheet, and database management
• Strong computer skills, including the use of Outlook and other Microsoft software

Reasoning Ability:

• Must be able to solve practical problems and deal with various concrete variables in situations where only limited standardization exists
• Must be able to interpret multiple instructions furnished in written, oral, diagram, or schedule form

• Must be able to transport, position or move objects weighting up to 10 pounds occasionally
