Job Title: Production Coordinator Job Description

The Production Coordinator provides comprehensive administrative and coordination support to the production and manufacturing teams, ensuring smooth day-to-day operations. This role serves as a key liaison between production staff, department leaders, and support teams such as supply chain, quality assurance, and maintenance. The Production Coordinator manages timekeeping and employee data in Paylocity, prepares reports and documentation, and helps audit upcoming and current production runs. The ideal candidate communicates confidently in both English and Spanish, demonstrates strong initiative, and is eager to learn and grow within a fast-paced manufacturing environment.

• Provide administrative support to the production team, including preparing reports, records, and documentation.
• Support the Plant Director by creating reports, managing expense reports, and organizing receipts for employees and plant leadership.
• Assist the Production Manager by gathering, verifying, and reviewing production data entry to generate accurate production reports.
• Collect and organize PTO requests and other employee forms on behalf of Department Supervisors.
• Verify employee punches and ensure alignment with the daily schedule, using a timecard review checklist to maintain accuracy.
• Prepare detailed documentation for one-on-one meetings and disciplinary actions for supervisors to deliver to employees.
• Support Planning and Production Managers in scheduling key personnel to meet production needs.
• Assist the Plant Director with data entry for key performance indicators (KPIs), including overtime tracking and analysis, absence tracking, and attendance tracking.
• Support the production team with any needed training, including coordination and documentation.
• Review adherence to standard operating procedures (SOPs) and assist in creating new SOPs as needed.
• Coordinate with product development (PD) on plant trials and new product training needs.
• Facilitate communication within the production department and between production and other departments in the facility.
• Collect, label, and store product and packaging samples as requested by product development or plant leadership.
• Support the Plant Director and Production Manager on process improvement projects and tests, including data collection and record keeping.
• Document employees’ activities and meeting notes as requested by the Plant Director.
• Support various tasks and record keeping at production lines during tests or as requested by the Plant Director.
• Maintain accurate employee data, timekeeping, and benefits information in systems such as Paylocity.
• Provide support to line leads, including covering breaks when needed.
• Audit upcoming and current production runs, proactively identifying issues and proposing improvements.
• Use tools such as Excel, Word, and project management systems (e.g., Asana, if used) to organize schedules, documentation, and production planning data.

• Bilingual fluency in English and Spanish, with strong written and oral communication skills.
• Proficiency with Microsoft Office, especially Excel and Word, with 1–3 years of experience using these tools.
• Experience in a manufacturing environment preferred, with at least 2+ years of relevant experience indicated.
• Strong data entry skills with high attention to detail and accuracy.
• Experience with schedule planning, production planning, and production scheduling.
• Ability to organize documentation, including reports, records, and employee forms.
• Comfort using timekeeping and HR systems such as Paylocity to manage employee data, timecards, and benefits.
• Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Effective communication skills to collaborate with production staff, supervisors, and cross-functional teams.
• Detail-oriented mindset with a strong focus on quality and accuracy.
• Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
• Willingness to learn and take initiative, including speaking up to suggest improvements and audit production processes.

• High school diploma or equivalent education is desirable.
• General computer literacy and comfort working with software systems.
• Proficiency in manufacturing-related software in addition to Microsoft Office.
• Familiarity with project management tools such as Asana is a strong plus.
• Previous experience supporting production, planning, or plant leadership teams.
• Experience working in a bakery, food production, or GMP-regulated environment is beneficial.
• Ability to collect, label, and manage product and packaging samples accurately.
• Comfort participating in process improvement projects, trials, and tests.
• Strong interpersonal skills to support training efforts and facilitate communication across departments.

You will work closely with plant leadership, including direct exposure to the Plant Director, giving you a clear view of how strategic decisions are made and implemented. This position is based in a bakery manufacturing facility where some areas may be colder or warmer than typical office environments. You will work in a Good Manufacturing Practice (GMP) setting and must be comfortable following strict safety, cleanliness, and hygiene standards at all times. The role involves working closely with production lines, plant leadership, and cross-functional teams, using computer systems such as Microsoft Office, manufacturing software, and timekeeping tools like Paylocity. The environment is fast-paced and operations-focused, requiring adaptability to production schedules and coordination across multiple departments.

This is a Contract to Hire position based out of South San Francisco, CA.

The pay range for this position is $24.00 - $28.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
