Architectural Project Manager
Position Title - Architectural Project Manager
Position Summary - Responsible for assisting the Director and the Associate Director of Facilities Projects in contributing to the College's long-term direction of the physical and built environment to meet the evolving needs for teaching, residential life and other institutional priorities. Responsibilities involve multiple project stages, from planning and design, to creation or modification and completion of the physical appearance, as well as additional real estate components. Assists the College in managing the planning, design, and construction processes in all approved projects to their respective completions, ready to deliver for operations and occupancy usage. This position shall provide technical and administrative assistance required regarding design and contracting efforts.
Common Knowledge/Skills/Abilities: Knowledge of the principles and practices of architecture and facility construction and engineering principles. Ability to prepare graphic presentations. Knowledge of the ability to learn CAD software, Microsoft Project Microsoft Excel and Microsoft Office. Ability to establish positive working relationships with customers, coworkers, state, local and federal professional personnel and other public and private sector organizations and individuals. Ability to communicate effectively. Ability to problem solve.
Essential Duties and Responsibilities - Responsible for managing the planning, design, and construction processes for all approved projects through completion, ensuring they are ready for operations and occupancy. The Associate Director and staff under their direction will have the following responsibilities:
- Assist in coordinating the assessment/evaluation of campus project needs for staffing moves, renovations, new facilities, utilities management, and landscape/hardscape management (as needed and required by the College).
- Assist in developing project programming with end users.
- Manage the procurement of architectural, engineering, and consultant services through the appropriate bid process established or approved by the College.
- Manage the design process from the Schematic Design phase through Construction Administration and building turnover.
- Coordinate the project design schedule with the design team to meet the Owner's desired construction timelines.
- Assist in providing Owner input regarding design standards from the Schematic Design phase through the Construction Documentation phase.
- Review and evaluate design documents as they relate to approved program spaces and campus standards for capital projects and major repairs and improvements.
- Assist the design team with submitting design information to the appropriate authorities having jurisdiction for permitting.
- Record and document all meetings related to each design phase.
- Assist and coordinate with design team members regarding appropriate signage, furniture, equipment, landscape, and hardscape components associated with capital projects and major repairs and improvements.
- Review and evaluate budgets as they relate to design documents and make recommendations to the Vice President for Business Affairs/Treasurer for approval and/or budget adjustments.
- Review and evaluate invoices from approved design team members and consultants and make appropriate recommendations for payment to the Owner.
- Review and evaluate contractor pay applications and make appropriate recommendations for payment to the Owner.
- Manage the procurement process for construction services through the bid process and Notice to Proceed.
- Assist with contract negotiations between the College and contractors/consultants by evaluating and preparing appropriate contract language and documentation.
- Serve as the Owner's representative and liaison between the design team, construction team, and College staff/end users during construction projects, renovations, and major repairs and improvements to existing facilities. During construction, manage contractors' work in a manner that minimizes disruption to faculty, staff, students, and ongoing campus operations while protecting the existing environment.
- Coordinate the project construction schedule with the construction team to meet the Owner's desired completion timeline.
- Coordinate contractor-to-Owner/end user training on building systems and components during building turnover to ensure proper operation and maintenance.
- Facilitate the design and construction team's punch list process from substantial completion through final completion. Manage the closeout documentation from the construction team to the Owner. Record and document all meetings related to every phase of construction.
- Track and coordinate end-user issues related to construction projects with the design team and contractor during the warranty period (e.g., heating/cooling issues in a specific space or unacceptable mechanical noise). Schedule and coordinate the 11-month project inspection with the design and construction teams prior to the end of the warranty period. Manage all end-of-warranty issues with the contractor through completion.
- Assist with and manage smaller capital improvement projects. Assist in developing deferred maintenance projects and coordinate the completion of deferred maintenance projects as scheduled.
- Assist in investigating, assessing, and recommending campus building assessments for the future capital improvement plan. Assist in developing appropriate components of the campus master plan.
- Assist in the continued development of campus construction standards, sustainable design improvements, and energy-efficient management systems and components to maximize the useful life of capital projects.
- Participate in continuing education and provide training on evolving industry practices to personnel responsible for operating capital projects and to appropriate end users.
- Serve as the Owner's representative to the College by responding to agencies and authorities having jurisdiction over capital projects and improvements. Coordinate and manage the safe handling of suspected hazardous materials or environmental conditions associated with capital projects and improvements.
- Keep daily project logs; negotiate change orders; inspect projects for compliance with contract specifications; and perform final acceptance inspections. Prepare and process all required forms and documentation necessary to close out projects both financially and physically. Provide monthly project status reports and additional updates as required.
Required Qualifications - Education and/or Experience:Bachelor's degree in Facility Management, Architecture, Engineering, Construction Management or related field. At least ten years of experience in the following areas:Programming/Planning/Architectural Design, Construction Documentation / Administration, Contract Bidding & Negotiation Costs, Renovation Design & Construction, Underground Utilities Design and Construction Management, Facilities Management or engineering or equivalent combination of education and experience are required. Educational institution andCADDexperience and professional license is a plus.The incumbent must be familiar with campus master planning process.This position requires excellent organizational skills in order to maintain and retrieve various types of information and documentation; experience in interpreting specifications and blueprints, construction estimates as essential to capital projects or major improvements; and working knowledge of building codes, fire and safety codes and requirements.Excellent oral communication skills are required when presenting information and responding to questions from students, employees, the general public in one-on-one or group situations and when conveying information to employees, design consultants, contractors and governmental officials. Incumbent must be able to write business correspondence and procedure manuals plus compose memos, letters, and emails. Must demonstrate the ability maintain a positive work environment and share knowledge in a manner others may perform their duties. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals.To perform this job successfully, an individual must have advanced skills using Microsoft Office Suite (Word, Excel, PowerPoint) which including such things as writing business correspondence, memos, and e-mails, plus creating flyers, tables, spreadsheets using formulas, and graphs. Must have experience using Cad and Prolog Construction software packages.

Physical Demands - While performing the duties of this job, the employee is regularly required to: sit, talk, and hear. The employee frequently is required to: stand, use hands for computers and to move items, and taste or smell. The employee is occasionally required to: walk, reach with hands and arms, climb or balance, and lift and/or move up to 40 pounds. There are no special vision requirements for this position.
