Position Summary
The Food Programs & Warehouse Coordinator is responsible for supporting and coordinating the day-to-day operations of Moms Against Poverty’'s food assistance programs, including food pantry services, food-box preparation and distribution, warehouse operations, inventory management, and volunteer activities. This position plays a key role in ensuring that purchased and/or donated food and other goods are received, stored, organized, prepared, and distributed safely and efficiently. The Food Programs & Warehouse Coordinator also provides direct service to beneficiaries, supervises support staff and volunteers, maintains accurate program and inventory records, and assists with program reporting and impact measurement.
Duties and Responsibilities
Food Program Operations
- Coordinate day-to-day operations of Moms Against Poverty’s food assistance programs, including food pantry services and food-box preparation and distribution.
- Provide direct and respectful service to program beneficiaries, including pantry intake and other required client-service processes.
- Coordinate the preparation, packing, staging, and distribution of food boxes and other food assistance.
- Help ensure that food boxes and distributions are prepared accurately and consistently according to established program guidelines.
- Support food distribution activities at Moms Against Poverty facilities and other approved community locations.
- Assist with coordinating food availability and allocation among pantry services, food-box programs, and other distributions.
- Oversee food program operations in the absence of the US Program Manager, as assigned.
- Participate in relevant program, operations, and staff meetings.
Warehouse & Inventory Management
- Oversee the organization, cleanliness, safety, and efficient operation of warehouse and food-storage areas.
- Receive, inspect, organize, and appropriately store food, in-kind contributions, and other program supplies.
- Maintain accurate inventory records and ensure inventory is properly allocated to food programs.
- Conduct periodic physical inventory counts and reconcile physical inventory with program records.
- Investigate and resolve inventory discrepancies and maintain appropriate stock levels.
- Monitor expiration, best-by, and use-by dates and support appropriate stock rotation practices.
- Organize food and other items according to established storage, safety, and operational procedures.
- Prepare and stage food and supplies for pantry operations, food-box packing, distributions, and other program activities.
- Coordinate loading and unloading of food, donated goods, and program supplies as needed.
- Monitor food loss, damage, and waste and report significant issues to the US Program Manager.
- Maintain orderly and accessible warehouse and storage areas to support safe and efficient operations.
Food Safety & Compliance
- Follow and help enforce applicable food-handling, sanitation, storage, and workplace safety procedures.
- Help ensure food is stored, handled, packed, and distributed in accordance with organizational policies and applicable regulatory and partner requirements.
- Monitor the condition and suitability of donated and distributed food.
- Help maintain clean and sanitary pantry, warehouse, packing, and distribution areas.
- Identify and promptly report food-safety, facility, equipment, or workplace-safety concerns.
Staff & Volunteer Supervision
- Supervise and support food program and warehouse support staff as assigned.
- Train, supervise, and provide direction to individual and group volunteers.
- Coordinate volunteer activities related to pantry operations, food sorting, food-box packing, warehouse activities, and distributions.
- Assign responsibilities and help ensure staff and volunteers follow established procedures and safety requirements.
- Foster a respectful, collaborative, and service-oriented environment for staff, volunteers, beneficiaries, and community partners.
Program Data, Reporting & Impact Measurement
- Collect and maintain accurate food program and operational data.
- Prepare recurring program and operational reports as requested.
- Track key information such as:
- Households and individuals served
- Food boxes prepared and distributed
- Quantity of food distributed
- Pantry participation
- Inventory levels and movement
- Volunteer participation and hours
- Other program impact indicators
- Support program impact evaluation and help ensure that records are complete, accurate, and maintained in accordance with organizational procedures.
- Provide program and operational information needed for internal reporting, donor reporting, grant reporting, and program evaluation as requested.
General Responsibilities
- Communicate effectively with staff, volunteers, beneficiaries, community partners, donors, and other stakeholders.
- Support special food distributions, community events, and other program activities as needed.
- Help identify operational challenges and recommend practical solutions to improve efficiency, organization, and service delivery.
- Perform other duties as assigned in support of program and organizational needs.
Required Qualifications

- Proficiency with Microsoft Office, particularly Excel.
- Bilingual proficiency in English and Spanish .
- Reliable transportation and ability to travel between program locations and other locations throughout the Bay Area as required.
- Ability to meet the physical requirements of the position.
Preferred Qualifications
- Bachelor's degree or an equivalent combination of relevant education, training, and professional experience.
- Previous experience in food assistance programs, nonprofit programs, warehouse operations, inventory management, logistics, community services, or a related field.
- Previous staff or volunteer supervisory experience.
- Experience working with diverse communities and community-based organizations.
- Knowledge of food safety, warehouse safety, inventory-control practices, or food distribution operations.
Physical Requirements & Work Environment
This position involves regular work in pantry, warehouse, and food-distribution environments. Duties may require the employee to:
- Regularly stand and walk for extended periods.
- Bend, reach, push, pull, carry, and perform other physical activities associated with warehouse and food-distribution operations.
- Occasionally lift and carry items weighing up to 50 pounds , with appropriate assistance or equipment when needed.
- Load and unload food, boxes, donations, and program supplies.
- Work in warehouse and food-storage environments with varying temperatures and activity levels.
- Safely use carts, dollies, pallet jacks, and other approved warehouse equipment, as applicable.
- Travel locally between Moms Against Poverty program locations and community distribution sites.
- Occasionally work outside of standard business hours when required for food distributions, special programs, or organizational events.
