Facilities & Workplace Services Coordinator

Job Description

We are seeking a dependable and hands-on Facilities & Workplace Services Coordinator to support the day-to-day operation, cleanliness, organization, and functionality of a large corporate office environment.

This position will be responsible for maintaining common areas, stocking office and kitchen supplies, coordinating minor repairs, supporting employee moves, and assisting with meetings and events. The ideal candidate is organized, responsive, comfortable working with vendors, and able to identify and address facility needs before they become larger issues.

Key Responsibilities

• Maintain clean, safe, and presentable public areas including lobbies, hallways, conference rooms, kitchens, and meeting spaces.
• Perform general upkeep and cleaning tasks, including sweeping, mopping, removing trash, and addressing minor facility concerns.
• Monitor inventory and order supplies for kitchens, printers, conference rooms, wellness areas, and resource rooms.
• Stock coffee, cups, utensils, paper products, printer paper, toner, pens, staples, and other workplace supplies.
• Communicate directly with vendors and service providers to report equipment issues and coordinate repairs or maintenance.
• Monitor and respond to facility work orders and employee requests for minor repairs or workplace needs.
• Escalate building maintenance, safety, and facility issues to Facilities and Property Management.
• Support employee moves and office relocations by delivering boxes and assisting with moving and organizing materials.
• Assist with meeting and event setup, room rearrangement, teardown, and cleanup.
• Keep conference rooms organized and ready for use throughout the day, including maintaining furniture, equipment, and seating arrangements.
• Maintain wellness rooms by ensuring they are clean, stocked, and ready for use, including first-aid and other necessary supplies.
• Maintain office refrigerators, microwaves, ice makers, sinks, counters, and other shared kitchen equipment.
• Replace water filters and coordinate routine service for workplace equipment as needed.
• Respond to spills and other safety hazards and ensure appropriate wet-floor or safety signage is placed when necessary.
• Perform other general facilities and workplace support duties as assigned.

Qualifications

• Previous experience in facilities, workplace services, office services, building operations, hospitality, custodial services, or a similar environment preferred.
• Strong organizational and time-management skills.
• Ability to work independently and prioritize multiple requests throughout the day.
• Strong customer service and communication skills.
• Comfortable working with vendors and service providers.
• Ability to perform light physical tasks, including moving boxes, supplies, furniture, and equipment.
• Strong attention to detail and a proactive approach to identifying workplace needs.
