MIS Clerk/Medicaid Specialist

The Medicaid Clerk / MIS Specialist plays a key support role within the Special Education Department by managing essential student data systems, coordinating Medicaid documentation, ensuring compliance with reporting requirements, and assisting with department operations. This position supports the accuracy of student records, facilitates services, and contributes to the overall efficiency of the department.

Required Qualifications:

• Ability to work collaboratively with educational professionals, parents, and students
• Strong organizational skills and attention to detail
• Excellent communication skills, both verbal and written
• Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
• Familiarity with Medicaid billing and consent documentation
• Ability to work independently and communicate effectively with staff and families
• Experience in a school district or public agency setting is a plus
• Current Certification of Health, including negative TB test
• Completion of clear, criminal background check

Physical Requirements:

• Requires prolonged sitting or standing
• Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials up to 20 pounds
• Requires stooping, kneeling, crawling, bending, turning, and reaching

Job Functions:

• Maintain and update departmental databases, including SPEDTRACK, SPEDPRO, SKYWARD-SPED, and the Special Education Master List for all students receiving services
• Run monthly state and weekly verification reports to ensure data integrity and compliance
• Perform quarterly progress monitoring reviews and follow up with staff to ensure timely documentation
• Ensure proper documentation for Medicaid billing is completed and organized, including parent consents, scripts, and service paperwork
• Download and file Medicaid-related documents according to state and federal guidelines
• Generate monthly performance reports for service providers
• Respond to and fulfill records requests from parents, outside agencies, and other departments while ensuring compliance with FERPA and privacy laws
• Manage transportation requests for special education students and help resolve related concerns
• Participate in the RWA (Ready, Willing, and Able) process and assist with SSAC (Special Services Advisory Committee) meetings
• Arrange substitute coverage for paraprofessionals, communicate with Paras to fill vacancies, assign them to buildings, and track all sub coverage
• Approve Para sub timesheets for payroll processing
• Input and track all department purchase orders; check in items and distribute them to appropriate buildings
• Manage and maintain inventory of testing kits and assessment protocols, including check-out/check-in tracking
• Provide front desk coverage on occasion
• Other duties as assigned by supervisor
